Administrative Assistant

Coordinate and facilitate day-to-day administrative aspects of the office.
Operate telephone system to answer, screen, and forward calls; provide information and take messages.
Provide a friendly and professional experience for all office visitors while directing guests to the appropriate staff or areas.
Interact with vendors, clients, and internal staff in a positive and professional manner.
Assist with office supply inventory and ordering.
Collect, sort, distribute, and prepare mail, packages, and deliveries.
Perform filing, scanning, faxing, document preparation and copying as needed.
Assist technical and field services staff with project-related administrative tasks.
Assist with coordination of company events and meetings.
Maintain cleanliness and organization of the office, including common areas, conference rooms, and shared spaces.
Develop and maintain positive working relationships with employees across all company locations.
Meet with employees, customers, suppliers, and guests as needed to support operations and promote strong working relationships.
Support staff with other administrative needs across departments.
Conduct all activities in a safe and productive manner.
Promote a positive and professional working environment aligned with company goals.
Perform other duties as assigned.
Strong attention to detail and accuracy in completing tasks.
Excellent communication, organization, and time management skills.
Ability to adapt to changing priorities and work in a fast-paced environment.
Proficiency in Windows-based programs and general computer skills.
Ability to operate standard office equipment (phone, copier, scanner, etc.).
Self-motivated with the ability to work both independently and as part of a team.
Reliable, dependable, and eager to learn.
Ability to maintain confidentiality.
Strong interpersonal skills for interacting with employees, clients, and vendors.
Ability to multitask while maintaining a professional and supportive work environment.
High School Diploma or G.E.D. required.
Previous administrative or office experience preferred.
This is a part-time position.
Typical work schedule will be Monday through Friday with flexible hours.
Schedule will be determined based on office needs and candidate availability.
This role operates in a professional office environment and regularly uses standard office equipment.
Employees are required to follow all safety standards and wear personal protective equipment in designated areas.
This is a largely sedentary role; however, occasional standing, walking, and light lifting (up to 10 pounds) may be required.
$16 - $20/ hr contingent on experience and program proficiency
