
Personnel Services Assistant (Bloomington)

Open Access Technology International, Inc. (OATI) is seeking a professional, customer-service-oriented Personnel Services Assistant to support our Bloomington, MN location. This versatile role provides direct support across Personnel Services, Office Services, and Reception, ensuring smooth daily operations and a welcoming environment for employees, vendors, and VIP guests. This position reports 100% on-site. Starting Salary Range: $52,000.
Key Responsibilities
Personnel Services Support
Assist the Talent Acquisition team with recruiting coordination and administrative tasks
Support the Training Department with tracking registrations, participant lists, and scheduling
Maintain detailed documentation of training attendance and records
Send notifications via Outlook, including reminders, confirmations, and follow-ups
Onboarding
Reception & Guest Services (Backup)
Serve as backup to the front desk, providing a professional first impression for all visitors
Coordinate Travel
Answer and direct calls with professional phone etiquette
Assign badges to guests and new employees
Coordinate vendor escorts as needed
Support building security operations and monitor gate access
Report turnstile issues and respond to alarms promptly
Document and escalate security concerns as appropriate
Office Services Support
Manage meeting room reservations and ensure seamless event logistics
Oversee event setup, ensuring a polished experience for VIP guests
Coordinate food orders for internal and external events, including vendor and catering logistics and requisition forms
Stock and manage office supplies
Ensure meeting areas remain clean, organized, and event-ready
Coordinate shipments and deliveries
Qualifications
Associate’s degree required; equivalent experience will be considered
Strong attention to detail, organizational skills, and ability to multitask in a fast-paced environment
Proficiency in Microsoft Office (Outlook, Word, Excel)
Professional phone etiquette and strong interpersonal skills
Ability to work independently, prioritize tasks, and manage time effectively
Ability to lift office supplies as needed
Must be able to work 100% on-site at our Bloomington, MN location
