Construction Project Coordinator (Milwaukee)

Job Purpose:

In this position, you coordinate administrative and communication activities to support the team in delivering projects within scope, schedule and budget.

Project Coordination Accountabilities (80%)
Coordinate job startup and closeout process
Maintain project documentation per Team Nexus standards
Keep project status logs, submittal logs, and track change orders as requested
Prepare Submittals, Op & Maintenance Manuals, Closeout Manuals, Expediting Reports, etc.
Prepare and distribute bid packages
Assist with invoices, budgets and schedule of values
Coordinate with local utility rebate programs, tracking and reporting
Solicit and track subcontractor spend-out schedules
Address questions and problems with urgency, collaborate as needed
Client & Consultant Accountabilities (20%)
Share process standards and best practices to assure continuity and quality
Attend meetings and visit client sites as requested, record minutes as needed
Communicate with purchasing and outside vendors to order and expedite material
Coordinate with subcontractors, including routing correspondence and change documents
Facilitate informational vendor training
Review and/or prepare contracts and assemble drawings, specifications and other resources to answer questions in a timely manner
Communicate with subcontractors, architects, engineers, and owners to assist Operations leadership with daily duties

Required Qualifications
High School degree or equivalent
A minimum of 7 years’ experience in administrative function or business environment, preferably with a general contractor or construction firm
Ability to solve problems effectively and efficiently
Strong written and verbal communication skills
Self-directed and highly organized in approach to work
Able to manage multiple, competing priorities in a fast-paced environment
Demonstrated attention to detail and ability to shift focus
Solid knowledge of Accounting practices
Proven ability to operate with integrity and empathy and build lasting trust-based relationships
Strong computer skills with competency in Microsoft Office and Bluebeam
Able to travel occasionally and accommodate flexible scheduling

Preferred Qualifications
Project administration experience
Proficiency with Procore
Experience working with K-12 facilities, programs, and priorities
