Summary
We are looking for a Refractive Program Coordinator to take ownership of the entire LASIK and refractive surgery patient journey from first inquiry through post‑operative experience, while building a scalable system that supports and drives growth in surgical volume and patient satisfaction.
Duties
Patient Journey Ownership
Manage the full refractive patient lifecycle from initial inquiry through post‑op follow‑up.
Ensure timely responses, clear evaluation pathways, confident counseling, and a smooth surgical experience.
Maintain high patient satisfaction and cultivate patient advocates.
Lead Management & Conversion
Respond promptly to all incoming leads (phone, web, text, referrals).
Pre‑qualify and schedule refractive evaluations.
Track, manage, and follow up on all leads using a lead management system.
Monitor conversion rates and optimize patient flow from inquiry to surgery.
Clinical Coordination
Perform initial screenings, testing, and patient workups.
Prepare charts and identify strong surgical candidates for surgeon consultation.
Maintain efficient clinic flow and coordinate care across the surgical process.
Patient Education & Sales Support
Educate patients on procedures, expectations, and FAQs.
Handle objections and guide decision‑making.
Present pricing and financing options.
Schedule surgeries and coordinate pre‑op requirements (testing, paperwork, medications).
Surgical & Post‑Operative Experience
Provide general oversight into the surgery‑day experience of refractive patients.
Coordinate post‑op scheduling and follow‑up care.
Track outcomes and ensure continuity of care.
Marketing & Referral Development
Participate in outreach efforts with the marketing team.
Build and maintain relationships with referring providers (ODs).
Track referral sources and report performance insights.
Encourage testimonials, online reviews, and word‑of‑mouth referrals.
Program Operations & Performance
Design and operate the refractive program as a revenue‑generating service line.
Maintain dashboards for lead tracking, conversions, and outcomes.
Report performance metrics and pipeline status.
Systems Development & Process Improvement
Build and refine workflows, scripts, and operational processes.
Identify bottlenecks and implement improvements.
Develop scalable systems to support program growth.
Train and onboard future coordinators.
Qualifications
Knowledge of medical office practices and medical terminology.
Strong knowledge of ophthalmic refractive surgical procedures is required.
Experience in sales and building streamlined operations in healthcare are preferred.
Skilled with building and generating metrics.
Commitment to excellence in patient care and relations.
