About The Role
As a Hospital Procedure Scheduler, you will serve as a central hub of coordination for hospital-based cardiac procedures. You'll be responsible for managing procedure scheduling, providing patients with preparation instructions, and ensuring accurate documentation within the electronic medical record (EMR). Your role supports a wide variety of cardiac interventions, and you'll be an essential communication link between physicians, patients, and hospital departments. This is an in-office, non-clinical position that requires a high level of attention to detail, organizational skills, and a compassionate, patient‑first approach.
Day-to-Day Responsibilities
Schedule inpatient and outpatient hospital procedures across cardiothoracic, vascular, and surgical services, including major cardiac, thoracic, vascular, and robotic surgeries, as well as specialized co‑surgical and endovascular procedures.
Receive and process procedure requests via Epic In Basket, email, and approved request forms.
Assign CPT and ICD-10 codes and coordinate procedure dates with patients, providers, and hospital teams.
Communicate procedure details, updates, and changes with surgeons, nursing staff, referral coordinators, and hospital departments.
Support referrals, insurance authorizations, rescheduling, and cancellations to keep cases moving forward.
Prepare and document procedures and related notes in the EMR.
Schedule clinic appointments as needed to support hospital procedure workflows.
Maintain patient confidentiality and comply with HIPAA and organizational policies at all times.
Perform related duties as assigned.
Qualifications
What You'll Need to Succeed
High School Diploma or GED required
Minimum 6 months of medical office experience required
Previous experience in cardiology or scheduling hospital procedures is highly preferred
Strong ability to multitask and prioritize in a fast‑paced environment
Excellent interpersonal and communication skills
Familiarity with EMR systems and basic healthcare terminology
Knowledge of insurance plans and referral processes is helpful
Work Environment
Location: 910 W 5th Ave, Spokane, WA 99204
Schedule: Monday–Friday
Office‑based role with moderate noise level
Frequent use of computers, phones, and standard office equipment
Occasional travel may be required
