Description
The Patient Encounter Associate performs all support functions related to patient reception, scheduling and financial pre‑clearance, ensuring a high degree of patient satisfaction and maximum reimbursement to the institution.
Responsibilities
Perform all support functions related to patient reception, scheduling and financial pre‑clearance.
Obtain and verify patient demographic and insurance information, determine insurance/payment source and identify necessary authorizations or referral requirements.
Assist with determining and resolving insurance issues.
Greet patients in person and by telephone and update their insurance/demographic information in the practice management system.
Gather registration and financial information for patient pre‑registration, enter it into the practice management systems and ensure all entries are accurate.
Answer phones, schedule, reschedule, cancel appointments and contact patients at home to confirm or cancel appointments as needed.
Check patients in upon arrival, perform full registration (including provider‑based registrations), verify demographics and complete financial screening.
Ensure patients have paid or collect the appropriate co‑pay under billing management direction, and provide receipts per cash‑control protocols.
Perform charge entry tasks or enter payments collected from patients, prepare cashier’s deposit.
Facilitate prior authorization and appointment scheduling for diagnostic testing requested by providers in the EHR.
Review status of waiting room regularly and advise patients of wait times.
Scan documents into the electronic health record daily.
Distribute metro‑cards using the web‑based program, PTAR or manually if the system malfunctions.
Assemble necessary paperwork (e.g., demographics, labels, distress thermometers) for physician and chemo/infusion practices.
Maintain physicians and chemo/infusion schedules in Centricity Business (IDXeIDX), ensuring real‑time patient arrivals and that no patient is left in a PEN status at day end.
Follow all HIPAA and other federal/state agency requirements regarding proper handling of PHI documents.

Compensation
The salary range for the role is $26,779.80 – $28,750.70 per hour. Actual salaries depend on experience, education and operational need.
