Role of Operations Support Specialist I
Shift: Monday - Friday 8am-5pm
Under direct supervision, performs clerical and administrative functions in support of the Operations Department. Performs timekeeping responsibilities, provides customer service and performs other duties as required.
Essential Responsibilities
Provides administrative and clerical support to the operations department which may include calendaring, creating correspondence, developing reports, planning meetings and events, answering phones and other duties as assigned.
Performs timekeeping responsibilities including recording schedules, hours worked, vacation approvals, etc. to ensure that attendance records are properly maintained.
Courteously and tactfully assists customers, business partners, employees and vendors.
When performing inventory and procurement duties:
Generates purchase orders, follows up with vendors and enters repair orders on the fleet maintenance system.
Schedules and monitors shipping and receiving.
Ensures that all export standards are met.
Tracks commodities and takes inventory.
When performing dispatch duties:
Schedules service and assigns drivers for special pick-ups, reassignment and arranges alternate coverage in case of employee absences or equipment failure.
Audits routes to verify customer service levels. Reports route discrepancies to the Operations Manager and Customer Service Manager.
Assists the Operations Manager with route maintenance and sequencing activities to ensure route optimization.
Other duties as assigned.
Qualifications
High school diploma or GED required.
Bachelor's degree preferred.
Two years of related administrative experience.
