
Administrative Assistant III – Mail Room - Classification and Inmate Transportat

Job Summary
Performs complex administrative support work. Work involves providing administrative support including disseminating information, assisting with maintaining filing systems, and preparing and editing reports and documents. Works under general supervision with moderate latitude for the use of initiative and independent judgment.
Essential Functions
Prepares, edits, and distributes correspondence, reports, forms, and other documents; verifies accurate sorting and logging of inmate special, legal, and media mail.
Issues postage and writing materials to indigent inmates; reviews and processes denials and handling of contraband; and responds to inmate inquiries regarding rules, regulations, policies, and procedures.
Coordinates work with other departments, units, and staff; performs data entry, retrieval, and data searches; assists in preparing reports; and maintains files and records for unit mail room operations.
Provides technical assistance to staff; and reviews and assigns work to clerical staff.
Performs a variety of marginal duties not listed, to be determined and assigned as needed.
Minimum Qualifications
Education: Graduation from an accredited senior high school or GED.
Experience: Two years full-time, wage‑earning customer service, clerical, administrative support, or mail room experience. Fifteen semester hours of college credit may be substituted for each six months of experience.
Knowledge and Skills
Knowledge of office practices and procedures.
Knowledge of mail room operations and agency rules, regulations, policies, and procedures regarding inmate mail (preferred).
Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations (preferred).
Skill to communicate ideas and instructions clearly and concisely.
Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
Skill to interpret and apply rules, regulations, policies, and procedures.
Skill in the use of computers and related equipment in a stand‑alone or local area network environment.
Skill to prepare and maintain accurate records, files, and reports.
Additional Physical and Work Requirements
Ability to walk, stand, sit, kneel, push, stoop, reach above shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry 15‑44 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
Work environment: inside, around machines with moving parts and moving objects, radiant and electrical energy, working closely with others or alone, protracted or irregular hours, traveling by car, van, bus, and airplane.
Equipment used: computer and related equipment, calculator, copier, fax machine, telephone, cart, dolly, automobile.
Salary
$3,380.63 monthly (retired 2.5% less).
