Administrative Associate – Simmons Cancer Center (Job #938275)
We are seeking an Administrative Associate to support the Director of Pharmacy Services and Project Management team. This role supports Medical Directors, Manager of Program Operations, Psycho‑Oncology team, AVP of Clinical Cancer Programs, and Deputy Director for Clinical Affairs.
Primary Responsibilities
Provide administrative support to the Director of Pharmacy Services and the Project Management team.
Support two Medical Directors, the Manager of Program Operations, and the Psycho‑Oncology team with Cancer Center‑related administrative requests.
Serve as back‑up administrative support to the AVP of Clinical Cancer Programs and the Deputy Director for Clinical Affairs.
Coordinate schedules, calendars, and meeting logistics; prepare meeting spaces, agendas, minutes, and action items.
Book travel, handle expense reports, reconcile expenses, and manage payment requests.
Input service requests, print shop orders, and supply orders; assist with print shop and purchasing.
Assist with financial and personnel record keeping, liaison with Human Resources, IT, Purchasing, and Accounting.
Provide professional support for special projects including proposals, business plans, presentations, and conferences.
Handle confidential information, maintain high accountability, and follow organizational policies.
Qualifications
Advanced proficiency in Microsoft Office Suite (Visio, Excel, PowerPoint) – required.
Experience managing complex calendars and scheduling – required.
Strong organizational skills, prioritization, and ability to work independently – required.
Excellent written and verbal communication – required.
Ability to collaborate with stakeholders at all levels – required.
High level of accountability and attention to detail – required.
Ability to handle confidential information – required.
Familiarity with PeopleSoft or similar – preferred.
Experience coordinating semi‑complex travel arrangements – preferred.
Basic accounting knowledge and experience with expense tracking/reporting – preferred.
Four years of business or administrative experience in a university medical center, governmental environment, or equivalent – required.
