Executive Assistant
NextGen Federal Systems is seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative and executive support to our Intelligence Community (IC) customer. The selected candidate will support a full range of administrative operations while working directly with senior leadership and security personnel in a fast-paced mission environment.
Responsibilities
Provide executive-level administrative support to customer leadership
Assist the Office of Security (SEC) Special Security Officer (SSO) in meeting office security requirements
Review, coordinate, and track internal and external staff clearance and nomination packages
Prepare staff summary sheets, Memorandums of Agreement (MOA), and official correspondence
Update and develop office-level Standard Operating Procedures (SOPs)
Facilitate Defense Travel System (DTS) travel for government personnel
Maintain the DIA Administrative Requirements Tasking System (DARTS)
Coordinate in-processing and out-processing for government staff and contractor personnel
Manage conference room scheduling, appointments, and senior leadership calendars
Coordinate office supply orders and serve as vehicle coordinator, including maintenance of vehicle logs and required reporting
Maintain internal files and records management systems
Catalog, file, and track Intelligence Information Reports (IIRs) and storyboards
Collect and submit Significant Action Reports (SAR) and Weekly Action Reports
Disseminate pertinent information to Communities of Interest (COI)
Collect and prepare operating reports and budget expenditure data
Assist in preparation of presentations, read-ahead books, charts, graphs, and narrative reports
Screen incoming correspondence and determine appropriate action
Review outgoing correspondence to ensure proper formatting, grammar, and coordination
Support data transfer and removable media procedures
Utilize the Aircraft and Personnel Automated Clearance System (APACS)
Ensure compliance with and dissemination of the Foreign Clearance Guide (FCG)
Coordinate submission of Country and Theater Clearance requests and advise travelers on Combatant Command travel requirements, including official passports and visas
Maintain awareness of current theater travel requirements and Joint Travel Regulations (JTR)
Qualifications
High School Diploma or equivalent required
Minimum of 3 years of administrative experience
Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Working knowledge and understanding of DoD processes and terminology
Experience supporting senior leadership in a secure government environment
Strong written and verbal communication skills
Exceptional attention to detail and organizational skills
Ability to manage multiple tasks in a high-tempo operational setting
Active TS/SCI clearance required
Desired Experience
Experience supporting Intelligence Community organizations
Familiarity with DARTS, DTS, APACS, and clearance processing procedures
Experience with security office coordination and foreign travel requirements
