Administrative Assistant
FWI is building a team to provide administrative services and executive office support for the Fleet Readiness Center Southeast (FRCSE) Administrative and Training Division at Naval Air Station Jacksonville, Florida. This position will serve as a critical operational resource, bridging day-to-day administrative functions, executive office management, and personnel support to deliver efficient and responsive administrative solutions across multiple FRCSE locations. The Administrative Assistant will provide comprehensive support for FRCSE administrative divisions, ensure timely processing of correspondence, travel documentation, and personnel actions, manage records and communications systems, and ensure that military and civilian personnel at FRCSE receive accurate, professional, and responsive administrative services that enhance mission readiness. Work Schedule and Location: On-site. This full-time on-site position will work Monday through Friday, 6:00 AM to 2:30 PM at Naval Air Station Jacksonville. Position may require occasional travel to other FRCSE locations including Mayport Naval Station, Cecil Commerce Center, and Wells Road Orange Park, FL.
Responsibilities:
Provide comprehensive administrative and executive office support for FRCSE leadership and staff, including drafting and editing correspondence, preparing reports, and managing calendars, appointments, and conferences
Process and track travel documentation using the Defense Travel System (DTS) and maintain accurate travel logs and files in compliance with established SOPs
Manage and maintain central files, historical records, archives, and Government publications; receive, sort, route, and process all incoming and outgoing U.S. Mail and guard mail
Input and review data in Navy-unique automated systems including NAVAIR Depot Maintenance System (NDMS), Time and Attendance (TAA), and electronic training systems; process Requests for Personnel Actions (RPAs)
Prepare and process security-related correspondence; track and maintain personnel security clearance requests and files
Generate and respond to message traffic using the Common Message Processor (CMP) in accordance with Naval directives and turnaround time requirements
Serve as an office resource in leadership's absence; relay and interpret requests, ensure timely information flow, and escalate urgent or emergency matters as appropriate
Qualifications Required:
Bachelor's degree preferably in Business Administration, English, Communications, or related field
3+ years of experience in administrative support, office management, or executive assistance, preferably in a government or military environment
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Windows OS
Strong grammar, spelling, and punctuation skills
Capable of acquiring proficiency in specialized government software (NDMS/TAA, DTS, DCPDS, CMP, Training Management Systems)
Active Secret level security clearance
Desired:
Prior experience supporting Navy, NAVAIR, or FRCSE administrative operations
Familiarity with Defense Travel System (DTS) and/or Defense Civilian Personnel Data System (DCPDS)
Experience working in a Controlled Unclassified Information (CUI) environment
