Administrative Assistant

The Administrative Assistant supports multiple departments and functional areas by coordinating daily operations, communications, and administrative tasks. This role ensures efficient internal processes, provides professional customer service, and supports department leaders across the LVCVA.
Support Department Operations
Coordinate meetings, calendars, travel, and departmental logistics.
Process correspondence, mail, and documentation in line with LVCVA policies.
Maintain organized records and confidential files.
Perform other routine and complex office administrative tasks as needed or directed.
Assist Financial and Administrative Processes
Prepare expense reports, purchase requests, and payment forms.
Support basic budget tracking and reporting.
Help ensure compliance with internal guidelines and recordkeeping standards.
Coordinate Communications and Customer Service
Serve as the first point of contact for visitors and callers.
Draft and proofread routine correspondence and reports.
Support departmental events and meetings.
What We're Looking For
High school diploma or equivalent; college coursework preferred.
Minimum three years of administrative experience in a professional office.
Proficient in English language usage, spelling, grammar, punctuation, typing, and Microsoft Office applications.
Ability to work independently with minimal supervision and as part of a team.
Strong organizational skills with attention to detail and accuracy.
Ability to handle multiple projects simultaneously, meet deadlines, and adapt to shifting priorities.
Effective verbal and written communicator with staff, vendors, and partners.
Able to learn and follow specific operational guidelines and policies.
Demonstrates professionalism, discretion, and a high level of customer service.
Able to meet the demands of the role and travel locally as needed.
