Scheduling Coordinator - Contingent
The Scheduling Coordinator serves as the centralized owner of the master schedule template for a designated clinical specialty across all sites of practice. This role is responsible for maintaining consistent and standardized scheduling practices, ensuring optimal outpatient availability, and facilitating patient access. Under general supervision, the coordinator collaborates with internal scheduling teams and external stakeholders to proactively manage and report on clinic resource time.
Key Responsibilities
Master Schedule Ownership
Solely manage and maintain the product line master schedule template.
Own and implement all schedule changes for the service line.
Ensure consistency and accuracy across all provider templates and scheduled clinic resources.
Scheduling Operations
Monitor and report on outpatient availability across all sites within the assigned specialty.
Act as a centralized resource for scheduling inquiries from referring physicians, patients, and internal teams.
Respond promptly to patient scheduling needs and access issues.
Collaboration & Communication
Partner with Contact Center, RPO, and other scheduling departments to align scheduling strategies.
Communicate scheduling protocols and updates to relevant stakeholders.
Serve as a liaison between clinical teams and administrative scheduling functions.
Standardization & Compliance
Ensure standardized scheduling practices, protocols, and procedures across all sites.
Maintain compliance with organizational policies and service line requirements.
Identify and implement process improvements to enhance scheduling efficiency and patient access.
EDUCATION/EXPERIENCE REQUIRED: Graduation from high school or equivalent. Experience in a clinical or health care setting Ability to maintain a high standard of customer service and observance of organization protocol Ability to maintain team-orientated relationships with managers, physicians, and other clinical staff. Demonstrated ability to anticipate issues and suggest strategies to address and/or improve those issues. Highly organized and meticulous about details. Effective written and verbal communication skills. Solid understanding and knowledge of medical terminology Preferred Qualifications: Minimum of two years of scheduling experience NextGen experience Knowledge of CPT, ICD9, ICD10 codes CERTIFICATIONS/LICENSURES REQUIRED: None
