The
Intake Team
welcomes prospects who need mental health support. Your role as an Intake Specialist III is to engage potential clients, assess their needs, confirm eligibility, and connect them with an appropriate Headlight clinician. All work is performed onsite at the clinic, 100% on site, full-time, 8 am–6 pm Monday through Friday in San Del‑ice, CA 92121.
Key Responsibilities
Act as the initial point of contact and receive handover when a PCP identifies a mental‑health need.
Within 3 minutes of introduction, establish rapport, orient the patient to Headlight's services, and assess their needs.
Match clients to appropriate Headlight clinicians based on needs and preferences.
Verify insurance, schedule the first appointment on‑site, and ensure a next step is defined for all patients.
Send same‑day "Handover Confirmed" notifications to the referring physician.
Oversee the intake process, including collection of paperwork, insurance information, and payment methods.
Ensure client satisfaction by addressing concerns and keeping them informed throughout the intake.
Accurately input client data into the system and maintain current records.
Collaborate with other team members and departments to streamline intake and improve client experience.
Follow all organizational policies and procedures to maintain compliance and high care standards.
Participate in pilot discovery by providing feedback on workflow friction and patient responses.
Build familiarity with the clinical team and support staff to reduce operational friction.
Qualifications

Who You Are
Experienced in intake at Headlight (or equivalent) and familiar with clinical matching and insurance verification.
Comfortable operating with ambiguity; willing to help shape evolving workflows.
Adept at reading a room, mirroring a PCP’s tone, and maintaining a warm transition.
Skilled at handling objections, exceptions, and no‑match situations without escalating anxiety.
Capable of self‑tracking work accurately without system babysitting.
