Position Purpose
Under physician direction and supervision, prepares patients for office visit, takes vital signs and records them in the medical record, obtains patient chief complaint, escorts patient to exam room, and prepares patient for physician visit. Assures patients are ready in the exam rooms for physician or mid‑level provider arrival. Reviews patient medical record to ensure all needed test results, forms, and reports are available to the physician/provider. Assists physicians/providers with procedures and processes specimens according to established procedures. Performs in‑office testing at the direction of physician/provider (eg, EKGs, vision testing, strep tests, urinalysis, suture removals, injections, immunizations). Assists physicians with completion of patient forms requested by third parties. Arranges patient hospital admissions and test scheduling. Ensures clinical areas and drug sample areas are maintained per Joint Commission and other regulatory agencies. Maintains exam rooms to ensure supplies are present and equipment is in working order and clean. May be required to assist with patient phone triage.

Essential Functions and Responsibilities

Prepares patient for office visit, obtains medical record, ensures all necessary reports, forms, and test results are available, and escorts patient to exam room.

Obtains and documents patient vital signs and chief complaint.

Assists patients with gowning as needed.

Assists physician or provider with examinations or procedures.

Processes specimens according to established protocols.

Performs in‑office tests directed by physician/provider (eg, EKGs, injections, immunizations, vision tests, strep cultures).

Maintains exam rooms: ensures equipment is functional, supplies are available, and rooms are clean.

Ensures room safety for all ages of patients/visitors (eg, proper sharps disposal).

Assists completion of patient forms requested by third parties (eg, workers’ compensation, disability).

Assists with copying records for release‑of‑information requests.

Handles prescription refill calls and patient callbacks.

Supports managed‑care referral processes, pre‑authorization, and pre‑certification.

Schedules patient appointments with other physicians or ancillary testing departments.

Arranges inpatient admissions to hospital.

Ensures clinical work environment meets Joint Commission and regulatory requirements.

Co‑operates with the MPC Clinical Coordinator and others to assure compliance.

May assist with medical‑record audit processes.

Documents patient phone calls and advice/treatment in the medical record.

Assists physician with keeping problem lists and medication lists up to date.

Supports preventive‑medicine tracking (eg, mammograms, diabetes check‑ups, well‑baby and well‑child exams).

Develops and maintains patient logs and records to track test orders, results, and patient communication.

Helps physician and Office Coordinator develop recall‑system procedures for patient testing.

May assist with medication, laboratory, and radiology order entry (including ECGs) into the EHR if credentialed through an approved ICE‑NCCA provider; if not credentialed at hire, must obtain certification within six months or will be unable to perform this duty.

Maintains patient confidentiality of information pertinent to patients, physicians, providers, families, and visitors.

Required Education, Experience and Certification

CMA, RMA, CCMA, or NCMA certification through an NCCA‑accredited program, or an LPN/RN licensed in Michigan, or eligibility to register for the exam and obtain certification within six months of hire.

Two years of previous clinical experience or an equivalent combination of education and experience (preferred).

Formal education in medical terminology and anatomy & physiology (preferred).

Required Skills and Abilities

Familiarity with common prescription drugs.

Competency in obtaining accurate vital signs and performing in‑office procedures.

Knowledge of mandatory safety education and environment‑of‑care standards, including infection control, universal precautions, medical waste disposal, equipment proficiency testing, specimen handling, electrical safety, and sterilization techniques.

Experience with managed care plans and associated referral and pre‑authorization requirements.
