Job Summary and Qualifications
The Supervisor Contract Administration oversees the day‑to‑day operations pertaining to Contract Analysts and Administrators and all pricing/eligibility/administration processes. They will support the Department Manager with daily supervision to ensure administration of HealthTrust national contracts, Strategic Sourcing (S2), Custom and Local contracts. The position ensures measurement of SLAs, HR responsibilities for Contract Analysts and Administrators including training, and reporting as needed by management. This is a working supervisor role responsible for supervising a team and working on contract administration projects.
Day‑to‑Day Responsibilities
Supports Sr Manager of Contract Administration and directs Contracts Analysts and Contract Administrators
Consults on contract administration needs directly with members, account management, and sourcing teams
Monitors daily workflow progress by reviewing tracking log activity, providing reports to manager and recommending actions
Monitors contract administration volume per administrator, balances work and audit results for accuracy
Responsible for escalated problem determination, problem resolution activities including troubleshooting and provides management reports and root cause analysis
Leads project team meetings; works with internal customers and team to document, report and manage risks, issues and operational changes
Identifies and provides training opportunities related to information systems and processes and continuing education; mentors personnel in junior positions
Provides individual and group contract administration training of sourcing managers and directors
Manages training of new contract analysts and creates and disseminates training material to internal and external departments
Mentors analyst via inclusion in strategic business operations, preparation and facilitation of team meetings and one‑on‑one guidance resolving escalated issues
Evaluates vendor files by analyzing, researching and correcting the information and making a determination on how the file should be processed to load into the information systems
Ensures item integrity in large database of medical/surgical items (IMS) and pharmaceutical products (Genesis and IPC), Price and Eligibility Management (PEM)
Performs research; analyzes differences between items and identifies which items constitute new entries for database
Processes contract amendments and DocuSign, reviews amendment language and determines whether current contract terms and conditions are affected, works with contract manager to resolve
Provides guidance to sourcing regarding vendor mergers and reorganizations impact to systems and contract maintenance requirements
Manages grouping of current HealthTrust COIDs within the Item Management System to direct, change and create new lines of visibility to contracted pricing
Manages onboarding of new members by associating them to applicable contracts and contract‑specific pricing (custom agreements)
Blends workload management and work assignment to teams
Implements and supports project requirements by identifying project milestones, phases and elements; forming project team if applicable as well as all testing
HR Responsibilities for Contract Analysts and Contract Administrators
Coordination with Sr. Manager of Contract Administration for HR performance reviews
One‑on‑one coaching with Contract Analysts and Contract Administrators, taking additional inputs from the Sr. Manager of Contract Administration
Scheduling and PTO approvals, coordination of team building events
Timesheets for contractors
KRONO’s approvals where applicable
Escalation of team needs
Conflict management and resolution
Qualifications
Bachelor’s Degree is strongly preferred
Work Experience may be substituted for college degree
3–7 years’ work experience as a master data, business or financial analyst
Must have experience in data querying and reporting
Experience in data analysis in healthcare industry preferred
Exposure and familiarity with multiple technology platforms a plus
Prior experience managing a team preferred
