Administrative & Operations Associate
The Administrative & Operations Associate is a key member of Calvary's Operations Team. The Operations Team oversees HR, Finance, Compliance, Administration, Facilities, and IT across the organization.
This position collaborates closely with the program management team and plays a critical part in supporting the day-to-day operations and compliance of Calvary's housing programs. The Associate supports program compliance monitoring activities, supports internal audits, and manages a range of HR-related administrative tasks. The ideal candidate is a highly adaptable, hands-on professional who is comfortable working across multiple functional areas and stepping in wherever needed. This is a "roll-up-your-sleeves" position for someone who thrives in a fast-paced, mission-driven environment.
Operations
Provides support across HR, finance, compliance, facilities, IT, and administrative functions
Assists with special projects and cross-functional initiatives led by the Operations Team
"Roll up your sleeves" to handle both routine tasks and unexpected operational needs
Help ensure housing sites and office spaces are safe, functional, and well-maintained
Coordinate maintenance requests and vendor communication
Provide basic IT coordination support
HR & Finance Support
Assist with full-cycle recruitment: job postings, interview scheduling, and candidate communication
Organize and facilitate new hire onboarding and orientation
Track and manage employee leave, vacation, and other absences.
Support general administrative HR processes
Assist with invoice tracking, purchase requests, and expense documentation
Maintain organized financial and personnel documentation
Compliance & Contract Support
Monitor and track staff compliance with annual requirements: background checks (FBI, MPD, NSO), drug screens, TB tests, CPR certification, and trainings
Assist with managing and filing contract deliverables and close-out documents
Support internal audits and maintain organized records for compliance activities
Prepare monthly compliance reports and ensure timely resolution of issues
Maintain security and confidentiality of sensitive compliance documentation
Help develop, implement, and communicate compliance policies and updates
Assist in preparation for external audits and implementation of corrective actions
Requirements
Qualifications
Bachelor's degree or equivalent experience preferred
Minimum 3 years of experience in an administrative and/or operations role
Strong organizational skills and attention to detail
Ability to manage multiple priorities and shift between tasks easily
Comfortable taking initiative and working independently when needed
Strong verbal and written communication skills
Strong analytical and problem-solving skills
Proficiency in Microsoft Office Suite
High level of professionalism
Collaborative, mission driven, team-oriented mindset
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint)
Preferred Qualification
Experience in supportive housing, shelters, or homelessness services
HR, finance, or compliance processes

Work Environment & Physical Requirements
Must have own transportation for occasional off-site responsibilities
Must be able to:
