This advanced journeyman-level position provides administrative support within the Operations Department that requires complex duties involving independent judgment and high levels of discretion and confidentiality. The incumbent will assist the Chief Administrative Officer in ensuring the agency's compliance with all applicable laws, rules, and regulations within the Division of Administration, including but not limited to the Office of Property Assistance, Office of Risk Management, Office of Contract Review, Office of Group Benefits, Department of Civil Service, Office of State Travel, and Office of State Procurement.

Job duties include:
Answers and routes incoming phone calls, emails, faxes, and messages. Greets and directs individuals to appropriate destinations.
Assists staff in the Nursing Division in the organization and maintenance of multifaceted files, which include applications, criminal history record information, general correspondence, official reports, records, and legislation.
Performs data entry and document management for the Nursing Division's data and licensure processing.
Manages documents in the document management system for the division. Assists staff in maintaining and updating applicant and licensee files.
Routes and manages criminal background history documents accurately and in a timely. Maintains highly confidential and complex files on applicants, including criminal history record information on applicants, students, and licensees.
Provides input regarding procedures for the functions of the Division. Provides input and recommendations on policies and/or procedure development with the potential for major and/or long-lasting impact or change. Participates in performance improvement activities, continually improving all processes as opportunities for improvement arise. Works cooperatively as a member of the team, assisting and relieving other staff members as needed.
