Job Description
This role is a full‑time, 12‑month per year position supporting the high school administration team. The position involves managing a broad range of administrative functions, coordinating day‑to‑day operations, performing HR tasks, and serving as a point of contact for teachers and staff.
General Definition of Work
The High School Administrative Support Specialist supports the high school administration team through the administratively complex processes and tasks associated with the diverse and high‑volume needs of the high school. This role serves as the manager of the wide‑ranging administrative functions of the high school front office, working closely with school leadership to manage daily operations, perform HR tasks, coordinate building use, and support staff across various areas.
Essential Functions
Responsible for the completion of complex administrative and technical assignments.
Regularly responsible for complex time and attendance‑related tasks at the high school level.
Serves as the primary support for high school administrators when resolving office‑related matters.
As needed, engages in employee relations in support of the high school administrator.
Communicates with department employees on time and attendance‑related issues. Provides guidance and training to all staff; troubleshoots problems that arise.
Independently leads complex projects, which may include the preparation of budgetary information and staffing reports. Prepares documents for internal and external distribution, formats, edits, and distributes as required. May prepare agendas and other documentation for meetings, including meeting minutes.
Meets/greets/screens customers/visitors and provides assistance as appropriate. May resolve difficult customer‑related issues.
Functions as the primary point of contact for partner departments throughout the school division, as needed.
May monitor department accounts and complete bookkeeping tasks.
Maintains in‑depth awareness of front‑office matters and provides input/feedback to the high school administrators, as necessary.
Prepares correspondence for the department and responds to general inquiries. Composes letters and memoranda independently.
Maintains calendars for high school administrators and schedules appointments with internal and external groups.
Coordinates with peer administrative staff on coverage and other critical matters to the operation.
Responds to difficult customer‑related issues and resolves or elevates them when necessary.
Coordinates onboarding and recruitment activities for newly hired employees.
Collects, verifies, and enters complex unit/department‑related information into various software programs. Works with database support staff to ensure that systems are up‑to‑date and data is accurate. Serves as a point of contact for staff needing assistance with programs. Establishes and maintains files, frequently of a confidential and/or sensitive nature.
In the absence of a colleague, may be required to manage school registration, substitute teacher coordination, student attendance, or other significant programs associated with school operations.
May maintain inventory of materials, supplies, and/or equipment. May serve as first contact for office equipment maintenance.
Coordinates high school front office management and maintains oversight of the tasks, therein. May serve on special and/or regular teams and committees.
Frequently provides day‑to‑day direction for or has responsibility for supervision of administrative staff within the department/unit.
Performs other duties as required.
Knowledge, Skills and Abilities
Comprehensive knowledge of standard office practices, procedures, equipment, and business arithmetic. Ability to perform complex mathematical and statistical calculations and to maintain complex administrative records. Proficiency in Microsoft Office and Google Workspace applications. Ability to provide technical assistance and use office equipment such as computers, copiers, printers, multi‑line phones, and scanners. Ability to establish and maintain effective working relationships with employees, school officials, and the general public.
Education and Experience
Any combination of education and experience equivalent to the attainment of a college certificate, associate degree, or diploma, and a minimum of five years of increasingly responsible experience in the office administration field.
Physical Conditions and Nature of Work Contacts
Regular contacts are made with individuals from other internal units, outside organizations, and the general public. Administrative work is typically performed sitting in an office with occasional walking and light lifting of office items up to 30 pounds.
Job Requirements
At least 5 years of relevant experience preferred.
