Bookkeeping / Administrative Assistant

Key Responsibilities
Bookkeeping & Financial Support
Record daily financial transactions (invoices, payments, receipts)
Manage
accounts payable and receivable
Process invoices and reconcile bank and credit card statements
Track expenses and assist with budget monitoring
Maintain accurate financial records and organized documentation
Use accounting software such as
QuickBooks and Excel
Research account discrepancies and process credits/refunds
Administrative & Office Support
Answer phones and assist residents with questions and concerns
Maintain records, databases, and association files
Track resident issues and support the Property Manager
Prepare newsletters, notices, and website updates
Manage office supplies and incoming/outgoing mail
Process work orders for maintenance, landscaping, and housekeeping
Assist with lease reviews and new owner application processing
Support collections by reviewing receivables and forwarding files when needed
Assist residents with access devices (fobs, remotes, transponders)
Qualifications
Education & Experience
High school diploma or equivalent required
Minimum 3 years of administrative or office support experience
Bookkeeping or accounting support experience preferred
Proficient in
Microsoft Office (Outlook, Word, Excel)
Skills
Strong customer service and communication skills
Deadline with excellent organization skills
Ability to prioritize and multitask in a fast‑paced environment
Comfortable learning new technology and systems
Ability to maintain confidentiality and professionalism
