Position Summary
We are seeking a professional, organized, and patient-focused Receptionist to join our OB/GYN clinic. This role serves as the first point of contact for patients and visitors and is essential to creating a welcoming, efficient, and supportive front office environment. The ideal candidate will have strong customer service skills, attention to detail, and the ability to manage administrative responsibilities while maintaining confidentiality and professionalism.
Key Responsibilities
Greet patients and visitors in a courteous, respectful, and welcoming manner
Answer, screen, and direct incoming phone calls using excellent customer service and phone etiquette
Schedule, confirm, and manage patient appointments through phone, in-person requests, referrals, and electronic systems
Verify, update, and document patient demographic and insurance information accurately in the electronic health record
Collect and reconcile patient copayments and outstanding balances according to clinic procedures
Manage electronic messages, tasks, and communications in a timely and organized manner
Review, process, and route incoming faxes and documentation to appropriate staff members
Send appointment reminders and provide preparation instructions for procedures as directed
Obtain, verify, and document required patient consent forms
Maintain and reconcile petty cash balances at the beginning and end of each workday
Assist with onboarding and training of new staff as assigned
Coordinate pharmaceutical representative visits in accordance with clinic policies
Maintain strict confidentiality of patient and employee information in compliance with HIPAA
Collaborate with clinical and administrative team members to support efficient clinic operations
Participate in value-based care initiatives and workflow improvement efforts
Perform additional duties as assigned
Qualifications
High school diploma or equivalent required
Previous experience in a medical office or customer service role preferred
Knowledge of medical terminology and front office procedures preferred
Proficiency in computer systems, typing, data entry, and office technology
Strong attention to detail and accuracy in handling patient and financial information
Ability to maintain professionalism, dependability, and a positive attitude in a clinical setting
