Primary Purpose
Under moderate supervision, respond to inquiries from staff, students, parents, and the public; provide requested information and/or referral to the appropriate parties; direct visitors; and provide general clerical support for the efficient operation of the central administration office.
Qualifications
Education/Certification
High school diploma or GED
Special Knowledge/Skills
Ability to understand and follow detailed written and verbal instructions
Ability to operate multi-line phone system
Proficient in keyboarding, 10-key numerical data entry, and file maintenance
Effective public relations, organization, communication, and interpersonal skills
Ability to effectively present information in one-on-one situations
Ability to speak, read, and understand English and Spanish
Ability to communicate effectively with others, both orally and in writing
Experience
One (1) year clerical experience in office setting
Major Responsibilities and Duties
Receive and direct incoming calls, take reliable and accurate messages, and route to appropriate staff.
Greet visitors (e.g. public, parents, students, substitutes, vendors, etc.) respond to their inquiries and/or direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
Maintain computerized files using personal computer including reports, employee roster, and mailing lists.
Respond to emergency calls and notify appropriate parties to address immediate safety and/or security issues.
Assist with maintenance of personnel files, invoices, and other confidential district files.
Sort, distribute, or deliver mail, messages, and other documents.
Assist with preparation of materials for mailing, including preparing labels, stuffing envelopes, etc.
Provide clerical assistance to central office departments.
Maintain consistent punctuality and regular attendance.
Maintain confidentiality of all student, employee, and other District information.
Participate in staff development training programs, faculty meetings, and special events as assigned.
Maintain positive community relations by establishing positive rapport with students, parents, staff and public.
