
Program & Grants Manager

A dynamic and growing mental health support organization, the National Alliance on Mental Illness (NAMI), serving Duval, Clay, Baker, and Nassau Counties, is seeking an experienced Program & Grants Manager as a Full Time Employee in a non-clinical mental health setting. The Program & Grants Manager reports to the Chief Executive Officer and supports the implementation and coordination of NAMI programs and grant‑funded initiatives. This position assists in supervising program support staff, supports the recruitment and training of volunteer program leaders, and helps ensure the effective delivery and growth of NAMI education and support programs.
Key Information
Salary range: $62,000 – $72,000

Responsibilities
General:
Provide support for program operations and grant‑funded initiatives in alignment with the organization’s mission and strategic priorities
Supervise and support program support staff, assisting with coaching and professional development
Maintain regular meetings with the Chief Executive Officer to review program performance, grant compliance, and operational priorities
Collaborate with leadership to support implementation of program strategies and organizational goals
Program Management and Quality Oversight:
Coordinate implementation and expansion of NAMI education, support, and outreach programs
Ensure programs maintain fidelity to NAMI national standards and evidence‑based program models
Establish and monitor program goals, quality benchmarks, and performance metrics
Supervise program support staff and volunteer program leaders to ensure high‑quality service delivery
Develop and manage volunteer program leader recruitment, screening, onboarding, training, and retention strategies
Coordinate program leader trainings and provide ongoing technical assistance and program support
Support program planning and evaluation to ensure programs meet community needs and organizational priorities
Assist leadership to develop and implement a 3‑5 year program growth strategy for NAMI Jacksonville
Ensure consistent program documentation, policies, and procedures are followed across all programs
Grant Management and Compliance:
Support the implementation and monitoring of grant‑funded programs, including tracking timelines, deliverables, and reporting requirements
Assist in ensuring compliance with all grant agreements, funder guidelines, reporting requirements, and allowable cost standards
Track program deliverables and performance indicators to support achievement of grant objectives and milestones
Coordinate and prepare required grant reports, outcome data, and financial documentation for submission to funders
Maintain organized documentation for grant activities, including program records, participant data, financial tracking, and compliance materials
Work with the finance team and Chief Executive Officer to track grant budgets and expenditures in alignment with grant restrictions
Support the development of grant proposals, renewal applications, and required supporting documentation
Assist with preparation for funder monitoring visits, program audits, or compliance reviews
Help ensure grant‑funded programs meet both NAMI national program fidelity standards and funder performance expectations
Identify potential compliance issues and communicate them to leadership for resolution
Data Management, Outcomes, and Reporting:
Coordinate program data collection systems to ensure accurate and consistent tracking of participation, program outcomes, and performance indicators
Ensure required evaluation tools such as pre‑tests, post‑tests, surveys, and outcome measures are implemented and documented
Compile and organize program data to support evaluation and continuous improvement
Prepare data summaries and reports to support grant reporting and organizational needs
Maintain program databases and records in accordance with funder reporting requirements and NAMI standards
Ensure confidentiality and responsible handling of participant information in compliance with applicable privacy guidelines
Communication and Outreach:
Serve as a community liaison representing NAMI in outreach opportunities and collaborative initiatives
Build and maintain partnerships with community organizations, healthcare providers, schools, and other stakeholders
Represent NAMI at outreach events, presentations, health fairs, media engagements, and community meetings
Gather information on emerging community needs to support development of new programs or services to address those needs
Collaborate with staff to develop outreach materials and program communications to increase program awareness and participation
Ensure program‑related communications are clear, accurate, and aligned with NAMI branding and messaging
Qualifications
Support a growing non‑profit organization
Excellent attention to detail and ability to self‑manage completion of tasks
Time management skills and ability to adapt to changing situations and manage multiple priorities
Understanding of and sensitivity to the issues faced by individuals and families impacted by mental illness
Excellent verbal and written communication skills to establish and maintain strong working relationships with culturally diverse volunteers and members, their families, and caregivers as well as a wide range of donors and community agencies and organizations
Self‑motivation to problem‑solve and address issues
Proficiency in Microsoft Teams, Microsoft Word, Excel, PowerPoint, maintaining databases, and organizing shared files required; knowledge of Canva and Constant Contact preferred
Ability to manage large ongoing projects to produce desired outcomes
Maintain timely record keeping and report writing
Represent NAMI professionally and courteously as the first point of contact
Computer literacy: ability to work fluidly within Microsoft Teams and with Microsoft Word, Excel, PowerPoint and maintain Databases, and to organize shared files
Willingness to travel throughout Northeast Florida, requiring use of a personal vehicle
Willingness to work evenings and weekends on occasion
Physical ability to walk, bend, sit, talk, hear, repetitive motion of wrist, hands and/or fingers, lifting up to 25 pounds, kneel, stoop, reach, push and pull
Education and Experience
Required Education and Experience:
Bachelor’s degree from an accredited educational institution
3‑5 years working in program management, program development, and data and grant reporting
3‑5 years managing program staff
Preferred Education and Experience:
Master’s degree from an accredited educational institution or equivalent combination of education, training, and experience
Grant writing experience
Knowledge of NAMI programs
Experience and knowledge, personal or professional, about working with individuals and families affected by mental illness
