Summary
The Shipping and Receiving Manager oversees the day‑to‑day processing of O’Neil Digital Solutions (ODS) customer shipments. Additionally, this position will supervise and coordinate activities of workers responsible for picking product and preparing it for same‑day shipping both nationally and internationally via expedited carrier services. This position also plans, organizes and monitors the receiving, storage and distribution of all items received from suppliers. This associate needs to ensure a smooth and consistent operation so parts and supplies are located and distributed to proper departments in an effective and efficient manner.
Duties and Responsibilities
Maintain department status on all current orders for shipment
Supervise employees engaged in verifying and record keeping on incoming and outgoing shipments
Oversee incoming and outgoing activities to ensure accuracy, completeness, and condition of shipments
Calculates estimated costs associated with shipping/delivery function and recommends appropriate alternatives
Inspects material handling equipment for defects and notifies maintenance personnel
Directs movement of shipments from shipping and receiving platform to storage and work areas
Provides supervision, training, scheduling, and guidance to shipping personnel
Fosters positive working relationships. Responds proactively to performance concerns, discipline, employee complaints, and other employee relation matters
Inspects loading operations to ensure compliance with shipping specifications
Monitor inventory, shipping supplies, and reorders items as needed
Oversee jobs by due date and prep according to ship method
Prepare daily shipping report and account for ALL jobs and shipment
Provide report to Accounting, Production Control, and CSR’s
Maintain shipping systems and accounts for FedEx, UPS, DHL, DHL eCommerce, and XPO
Maintain USPS permits and PO BOX for all clients
Conduct forklift training to lift and equipment operators
Operate and maintain postage meter and postage funds account
Monitors the unloading of all materials in the department. Ensures materials are staged for counting and inspection
Ensure receiving reports accurately report all materials received
Resolve discrepancies with Accounting regarding invoices, packing slips, and receiver reports
Monitors the flow of paperwork from receiving to inventory for timely data entry. Oversees the movement of material from receiving to the warehouse in an efficient, effective and safe manner
Plans and coordinates work, trains and motivates, monitors and evaluates performance of warehouse and receiving associates; ensures their ability to safely operate material handling equipment
Compares identifying information and counts, weighs, or measures items of incoming shipments to verify information against bills of lading, invoices, orders, or other records
Ensures materials are stored properly to conserve space and comply with company safety procedures
Communicates status of jobs to Plant Manager
Perform other duties as assigned

Qualifications & Requirements
2 year college or Bacherlor’s degree preferred.
Minimum of five years supervisory and management experience and/or training in a related field; or equivalent combination of education and experience.
Ability to speak effectively before groups of employees or customers.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Knowledge of all USPS postal requirements as well as those of all major package and freight carriers (i.e. Fedex, UPS, DHL, etc).
Understanding of inventory systems and purchase order software.
Effective written and verbal communication skills.
Proficient in the entire Microsoft Office suite.
Forklift certified and able to drive other various material handling equipment.
Able to operate packing machinery.
Must be able to work a flexible schedule.
Working Conditions
The work environment characteristics described here are representative of those an associate encounters while performing the essential functions of this job in an indoor warehouse environment. While performing the duties of this job, the associate is regularly exposed to moving mechanical parts and may be occasionally exposed to fumes or airborne particles. The noise level in the work environment is usually moderate. While performing the duties of this job, the associate is regularly required to stand for prolonged periods of time; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The associate is frequently required to stoop, kneel, crouch, or crawl. The associate is occasionally required to walk. The associate must frequently lift up to 25 pounds and stand/or walk for more than four (4) hours per day.
