POSITION:
One (1) Administrative Assistant to the Principal at Heritage Middle School. This is a full‑time position (12 months) with benefits. The Chino Valley Unified School District operates a 4‑day work week Monday through Thursday.

POSITION SUMMARY:
Under direct supervision of the Superintendent, Assistant Director, Director or Principal, this position provides administrative and secretarial support for their respective departments. In addition to typing, filing and scheduling, the assistant performs duties such as financial record keeping, meeting and conference coordination, obtaining supplies, coordinating direct mailings, and working on special projects. The role also handles non‑routine correspondence, assembles highly confidential and sensitive information, deals with diverse external callers and visitors, and provides liaison support across departments and external agencies.
Principal Duties and Responsibilities
Schedules and organizes complex activities such as meetings, travel, conferences and department activities.
Performs desktop publishing and creates visual presentations for the respective departments.
Establishes, develops, maintains and updates filing systems for the department or school.
Retrieves information from files when needed.
Organizes and prioritizes large volumes of information and calls; sorts and distributes mail.
Responds to regular requests for information.
Acts as a liaison with other departments or schools and outside agencies.
Handles confidential and non‑routine information and explains policies when necessary.
Performs related work when required.
Qualifications, Knowledge and Skills Requirements
High level of interpersonal skill to handle sensitive and confidential situations.
Demonstrated poise, tact and diplomacy; extensive knowledge of school district operations and excellent command of the English language.
Knowledge of secretarial, office administrative procedures and standard office equipment, generally acquired through 1+ years of related experience.
Proficiency with Microsoft Office applications: word processing, spreadsheets, database and presentation software.
Analytical ability to gather and summarize data for reports, find solutions to various administrative problems and prioritize work.
Attention to detail in composing, typing and proofing materials; establishing priorities and meeting deadlines.
High degree of independent decision making, confidentiality acumen and personal initiative; works with limited direction and manages multiple projects simultaneously with frequent interruptions.
Education and Work Experience
High School diploma or equivalent.
Two years of college desirable or work experience in a school district.
Additional Requirements
Must possess or be able to obtain an Arizona (IVP) Fingerprint Clearance Card.
Work Environment
No physical risks or hazardous conditions.
Slight physical risks that require basic safety precautions (e.g., safety glasses, lab coats, rubber gloves).
Exposure to potentially hazardous materials requiring detailed safety precautions (e.g., respirators, handling hazardous substances, industrial machinery).
