Description Summary
This is an on-site Purchasing Clerk and Receptionist position based at our Kona, Hawaii facility, offering a collaborative work environment in a scenic oceanfront location.

This position is full-time and non-exempt. Responsible for supporting all purchasing and receptionist activities. Responsible for timely and accurate processing of batch records, inventory worksheets, and system transactions in compliance with company policies and procedures. This position will also provide backup support to the warehousing and logistics department as needed. Pay Range: $20-$23/hr

Supervisory Responsibilities
This is not a supervisory position.

Essential Job Responsibilities

Staff the reception desk, serving as the first point of contact to greet and assist shipping drivers and visitors in a professional manner.

Conduct daily walkthroughs to monitor inventory levels for key farm items, office supplies, and facilities materials; report shortages or needs to the supervisor.

Contact vendors to follow up on orders and confirm delivery status.

Process basic online purchases in accordance with company purchasing procedures.

Drive to local vendors and stores to pick up supplies and materials as needed.

Coordinate with delivery drivers upon receipt of goods to obtain required paperwork.

Collaborate with the receiving team to ensure all receiving and receipt documentation is accurately entered and properly filed in the system.

Work closely with facilities and maintenance staff to collect requisition paperwork and emails and communicate purchase status updates back to them.

Review requisitions for accuracy and completeness of financial information and partner with finance and accounting to resolve missing or incorrect details.

Other Duties

Work from the warehouse office desk as needed to receive inbound shipments and coordinate with FedEx deliveries.

Prepare, label, and stage FedEx outbound packages; remain on-site to ensure timely pickup.

Perform other duties and projects that may be assigned.

Physical Demands
May be required to sit for extended periods of time at a computer. May need to lift up to 50 pounds on occasion.

Working Conditions
Work is performed primarily in an office and warehouse environment but can be outdoors as necessary to complete inventory duties as necessary.

Qualifications

High School Diploma, or Associate’s Degree or other relevant field or equivalent experience.

Driver license.

Exceptional organizational and administrative skills.

Some previous purchasing and inventory control experience in a manufacturing environment is preferred but not required.

Proficiency with PC-based computer applications including Microsoft Word, Excel, and Outlook.

Able to work independently as well as part of a team. Must interact with all levels of the organization.

Detail-oriented with proven follow-up skills.

Ability to conduct web searches for purchasing of products.

Strong verbal and written communication skills.

Strong math and problem-solving skills.

Able to perform the essential functions of the position with or without reasonable accommodation.
