We are seeking an
Executive Assistant
to the CEO to join the Vista team. This role manages executive communications, prioritizes inquiries, and responds on behalf of the CEO with professionalism, discretion, and sound judgment.
Reporting directly to the Chief Executive Officer (CEO), this
full‑time
position is based at our
Madison, CT
campus. The role requires exceptional organizational skills, strong technical proficiency, and the ability to anticipate needs in a fast‑paced, mission‑driven environment.
Responsibilities
Manage the CEO’s calendar, priorities, and scheduling with a high level of discretion and strategic awareness
Coordinate internal and external meetings, including preparation of agendas and briefing materials
Act as a gatekeeper by managing incoming requests and ensuring appropriate prioritization and follow‑up
Coordinate communications for executive leadership, serving as a link to external parties (vendors, community partners, donors, and other stakeholders)
Act as the primary liaison to the Board of Directors and Board Committees
Coordinate all board and committee meetings, including scheduling, logistics, and communications
Draft high‑level communications, reports, and presentations
Education and Experience Requirements
Bachelor’s degree preferred in Business Administration, Project Management, Communications or related field.
Minimum of 5–7 years of experience supporting a senior executive, preferably in a nonprofit or mission‑driven organization.
Demonstrated experience supporting a Board of Directors strongly preferred.
Exceptional technological proficiency, including advanced use of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams/SharePoint), and Generative AI.
Strong interpersonal skills with the ability to interact effectively with senior leaders and board members.
Valid driver’s license and maintain an acceptable driving record as defined by Vista.
Salary
Up to $75,000 annually, commensurate with experience.
