Title Specialist - Equipment Finance

Under the supervision of the VP, the Title Specialist - Equipment Finance is responsible for the accurate and timely processing of motor vehicle titles to ensure proper lien perfection and compliance with state titling regulations. This role requires detailed knowledge of DMV laws across multiple states, strong attention to detail, and frequent interaction with customers, tax offices, DMVs, and internal teams. The position plays a critical role in protecting the company's financial interests while supporting operational efficiency and customer satisfaction.
Key Roles / Responsibilities
Maintain current knowledge of Department of Motor Vehicles (DMV) laws and regulations related to vehicle titles across all applicable states.
Interpret and apply state-specific titling requirements to ensure compliance and timely processing.
Perfect liens by ensuring all required documentation is accurately completed, received, and submitted within required timeframes.
Support loan documentation and other teams, as determined by loan volume.
Review motor vehicle transactions and provide guidance to customers and internal Equify employees regarding title-related inquiries.
Verify the accuracy and completeness of vehicle titles and registration documents received from DMVs, tax offices, and dealerships.
Scan, upload, and maintain electronic title records within shared systems to support tracking and reporting.
Build and maintain professional relationships with tax offices and DMVs nationwide to streamline processes and resolve title issues.
Organize, track, and maintain legal and title documentation in both paper and electronic formats, in coordination with documentation and compliance teams.
Coordinate with internal departments to resolve outstanding title issues and close follow-up items.
Travel to tax offices or other locations as required to complete time-sensitive title work.
Maintain proficiency in company systems, tools, and resources related to title processing.
Identify opportunities for process improvements and efficiency gains.
Perform other duties as assigned.
Required Education, Experience, and Qualifications
Required:
Bachelor's degree, preferred.
At least five (5) years of experience with a financial institution or the Department of Motor Vehicles, required.
Strong knowledge of motor vehicle title processing and lien perfection.
Excellent attention to detail and organizational skills.
Strong written and verbal communication skills.
Ability to work independently and collaboratively in a team environment.
Ability to manage multiple tasks in a fast-paced environment.
High level of discretion and sensitivity when handling confidential information.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Preferred:
Prior experience working with multi-state DMV regulations.
Experience in a financial services or lending environment.
Working Conditions:
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift 15 pounds at times.
Positions self to install equipment, including under desks.
Moves throughout the building to access files.
Must be able to comprehend and follow written and oral instructions.
Must be able to complete tasks even with frequent interruptions.
Must be able to use discretion and independent judgment as needed.
Must be able to speak clearly on the phone and to fellow workers.
