Entry-Level Materials Control Specialist – Supply Chain & Invoicing

Our client is seeking an early‑career Materials Control Specialist to support supply chain, procurement, and project teams with administrative coordination, invoice handling, and vendor communication. This role is ideal for someone with strong customer service skills who is eager to learn more about supply chain processes, materials tracking, and basic procurement workflows.

You will work closely with internal teams and external suppliers to ensure materials, invoices, and documentation are routed accurately and on time. Training will be provided for all technical processes.

Contract Duration: 6 months | W2
Location: Tulsa, OK (Local or regionally based candidates are strongly preferred)
Responsibilities:

Prepare and submit simple requisitions for materials and equipment.

Provide administrative support to supply chain buyers and project personnel.

Support materials coordination activities for ongoing projects, ensuring timely and accurate flow of information.

Perform invoice handling, including receiving, data entry, routing for approval, and tracking status.

Communicate with suppliers, vendors, and internal teams to resolve basic issues and obtain required information.

Assist with gathering material cost, delivery timelines, and availability during project planning.

Maintain and update materials documentation, including purchase orders, receiving reports, and material transfers.

Track the status of materials and escalate delays or discrepancies to the appropriate teams.

Assist with organizing vendor documents, drawings, and technical data to ensure timely review and proper retention.

Support senior materials specialists with scheduling, tracking, and reconciliation tasks as needed.

Qualifications (Must-Haves)

Basic proficiency with Excel or similar tools.

Strong communication and customer service skills.

Ability to manage multiple tasks, follow processes, and maintain accuracy.

1+ year of experience in supply chain, accounting, invoicing, customer service, or administrative support (any industry)

High School Diploma or GED required; Associate or Bachelor's degree preferred but not required.

Preferred Skills

Experience with ERP systems (Oracle or similar)

Exposure to supply chain or procurement processes.

Coursework or degree in Business, Accounting, Supply Chain, or related field.

Nice-to-Haves

Experience reconciling invoices or purchase orders.

Familiarity with vendor coordination or materials tracking.

Interest in learning about project materials management.
