Responsibilities
Position Summary:
Serve guests at the front desk with the highest level of service in an efficient, courteous and professional manner following IHG standards of aggressive hospitality and adhering to guidelines and procedures.
Report to work on time, in proper and clean uniform, including name tag. Personal appearance and grooming must conform to standard.
Handle all duties according to hotel policies, procedures, internal rules and standards.
Conform to cash handling procedures at all times.
Be knowledgeable about daily hotel operations, check daily event sheet, bulletin boards and stay up to date with changes, new procedures, and events.
Receive daily briefings about extraordinary events to effectively deal with foreseen situations.
Have knowledge about room rates, packages, discounts and promotions and know how to handle each.
Have knowledge about guest rooms, locations, amenities, features and all other services offered by the hotel.
Follow cash handling and banking procedures to check out all customers efficiently.
Carry out all reasonable requests by management within the associate’s capabilities.
Take same-day reservations and know how to enter a reservation into OPERA.
Perform guest registration and room assignment and accommodate special requests of guests.
Answer phones according to proper etiquette and as quickly as possible (no more than three rings).
Handle mail and messages properly and on a confidential basis.
Ensure the front desk and back office areas are clean at all times; utilize spare time for cleaning; keep computer equipment clean.
Assist guests with problems and questions; resolve problems using the Guest Response Program procedures.
Assist fellow associates to ensure tasks are completed on time.
Have knowledge about all emergency procedures and know how to act on them.
Be flexible in regard to work schedule.
Use PMS password with discretion; log off the terminal when leaving the area.
Have knowledge about the city, local area and attractions to provide guests with requested information.
Ensure proper credit at checkout and provide guests with a 0 balance folio; handle late charges according to procedure.
When leaving the front desk area, lock the cashier’s bank to secure cash.
Report any unusual occurrences or requests to the manager.
Represent IHG in a professional manner at all times.
Be disciplined, stay alert, greet guests immediately, and offer assistance before it is requested; focus attention on customers.
Be familiar with AM, PM and night daily checklists to ensure smooth daily operations.
Maintain confidentiality of information.
Skills
Effective verbal and written communication with all levels of employees and guests in a friendly, courteous, and service-oriented manner.
Computer literate with a professional yet friendly demeanor and strong customer service skills.
Ability to make decisions, concentrate, and work under pressure while handling multiple tasks.
Physical Job Requirements
Read and visually verify information; stand or walk for extended periods; move, lift, carry, push, pull, and place objects weighing up to 20 pounds without assistance. Perform other reasonable job duties as requested by supervisors.
Front desk shifts may vary between 7am and 11pm.
