Description: Practice Assistant Pay Rate: $17 per hour
The Practice Assistant is responsible for all patient registration, payment and demographic collection, check-in, check-out, scheduling and follow ups. Answer incoming calls and route appropriately and make outbound calls to confirm appointments and manage the daily calendar for all practitioners. Perform light office cleaning duties, ensuring cleanliness and organization. Assists Wellness Ambassador with curating the patient experience.
Job Description
Front Desk and Patient Intake:
Arrive 30 minutes before opening.
Turn on lights, equipment, and reception area computer.
Check voicemail, emails, and online booking messages.
Review day's schedule and note special cases.
Greet patients warmly within 10 seconds of entry.
Verify appointment details and insurance information.
Collect payments or outstanding balances.
Provide intake forms for new patients and ensure completion.
Address any immediate patient needs or concerns, like offering refreshments or guiding them to the waiting area.
Schedule follow-up appointments before the patient leaves.
Provide receipts, treatment plans, or exercise instructions.
Thank the patient by name.
Scheduling Appointments:
Efficiently book new and follow-up appointments, considering patient preferences and doctor availability.
Confirm appointments with patients via their preferred method (phone, text, email).
Manage and update the appointment calendar, minimizing scheduling conflicts and delays.
Handling Phone Calls and Emails:
Answer phone calls promptly and professionally, following proper telephone etiquette.
Address inquiries, provide information, and direct calls to the appropriate staff member when necessary.
Respond to emails in a timely and professional manner, addressing questions and providing information as needed.
Patient Insurance Collection:
Collect and accurately record patient insurance information, including policy details and ID numbers.
Communicate clearly to the patient about their coverage and any potential out-of-pocket costs.
Payment Collection:
Inform patients of their financial responsibility and collect payments at the time of service.
Handle payments efficiently and securely, offering various payment options (cash, card, payment plans).
Generate and provide receipts to patients for their payments.
Managing Patient Records:
Collect and accurately record patient demographic and medical information, including health histories, using clinic software or physical files.
Maintain patient records with meticulous attention to detail, ensuring information is up-to-date and easily accessible to authorized personnel.
Maintaining Patient Confidentiality (HIPAA Compliance):
Strictly adhere to HIPAA regulations to safeguard patient health information (PHI).
Handle patient discussions and information in a private setting, where it cannot be overheard by unauthorized individuals.
Obtain patient authorization before disclosing PHI for purposes beyond treatment, payment, or healthcare operations.
Office Maintenance and Organization:
Ensure the front desk area, waiting room, and treatment rooms are clean, presentable, and comfortable.
Monitor and manage office supplies and equipment, informing the practice manager when replacements need to be ordered.
Assist with administrative duties including filing paperwork, sorting mail, and scanning documents.
Assisting the Chiropractor and Clinical Staff:
Coordinate patient flow to help keep the doctor on schedule and minimize wait times.
Prepare exam and therapy rooms before patient appointments as needed.
Perform basic patient assessments like taking vital signs or recording medical history, if trained and requested to do so.
Opening and Closing Procedures:
End-of-Day Closing:
Turn off non-essential electronics.
Lock filing cabinets and secure patient files.
Ensure all treatment rooms are sanitized.
Set alarm and lock doors.
