The Morrisville Parks, Recreation & Cultural Resources Department is nationally accredited and committed to enhancing the quality of life for residents through inclusive, innovative, and engaging recreational opportunities. With over 200 acres of parks and greenways, the department offers year-round programs in athletics, aquatics, fitness, and cultural events for all ages. Its mission is to enrich the community by celebrating local culture, promoting wellness, and preserving natural resources. As Senior Administrative Assistant, you'll play a pivotal role in supporting the department's daily operations, coordinating workflows across key programs and service areas. You'll manage administrative processes, ensuring smooth execution of tasks and seamless support for staff and leadership. You'll assist with budget tracking and documentation, help maintain high-quality service delivery, and serve as a trusted point of contact for both internal teams and the public.
Some specific examples include (this is not an exhaustive list and is only for illustration purposes):
Manages the department's budget expenditure process; projects and monitors expenditures; reconciles expenditures against internal systems; assists with preparation of annual budget requests; prepares budget reports.
Monitors purchasing and contracting activities of the department to ensure compliance with applicable policies and regulations; initiates and processes purchase requisitions.
Manages the financial processes of the department including (but not limited to) ACH bank drafts for program payments, accounts payable, the daily deposit, procurement card processing, and purchase order execution.
Assists with the generating, executing, and monitoring of departmental contracts (with the director's approval) to initiate long-term rental agreements, memorandums of understanding, and program instruction.
Provides administrative support to the department staff and serves as the primary call taker for the general PRCR administrative line, as well as front line for in person customers.
Processes facilities rentals and program registrations and reviews, processes and approves all participant and user refunds in accordance with department policy.
Monitors and balances part-time staff payroll expenditures and maintains the part-time position chart.
Supports the Parks, Recreation and Cultural Resources Advisory Committee by attending meetings, developing minutes, and gathering any information requested.
Performs pre-employment processing for temporary, part-time employees. Works with HR to ensure processes are completed as required.
Conducts research, prepares reports, and completes special projects as directed, including assisting with grant preparation and administration.
Purchases office supplies and equipment for the department and keeps area in clean operating order.
Performs related duties as required.

High school diploma or equivalent with greater than zero to four years of experience in office management and financial management.
Graduation from an accredited community college with major course work in accounting, business management, or a related field is preferred.
