Secretary (12 Month)

Assists in providing a well-organized and efficiently maintained office environment in the secondary school within Westwood Community School District.
Responsibilities include preparing for the opening and closing of school, enrolling new students, generating transcripts, maintaining documentation of records requests, following up on CA-60's, maintaining up to date filing of CA-60's, sending out exiting student records, providing secretarial service to the appropriate Building Administrator, maintaining an accurate record of budgetary accounts, preparing money deposits, processing building permits/work orders, ordering general fund items, issuing supplies to teachers, accepting, logging in, storing and dispensing students' medications, collecting money for class sponsored activities, helping substitute staff, collecting payroll information, arranging for teachers on staff to substitute, greeting visitors, processing and logging/keeping record of all requests for school enrollment and/or school verification, posting all notices received from the board office, keeping an accurate record of notices and forms requested of teachers, disbursing and keeping records of student and teacher accident reports, assuming duties in connection with the Selective Service, answering and screening telephone calls, providing accurate information to the general public and students regarding school services and related programs, making arrangements for meetings, receiving, sorting, and routing incoming correspondence, maintaining files on correspondence and general educational material, logging and recording employee absences and timecards, submitting a complete payroll, absence forms, and signed forms to payroll, maintaining all correspondence and schedule of teacher conferences and field trips, monitoring daily student attendance records, performing attendant duties for recording of new admissions, active student records, inactive student records, and record verification, providing clerical support services for special education department, assisting in performing all related clerical functions for summer school enrollment, providing telephone and personal contact with potential schools of choice enrollment during the summer period, providing clerical support to Building Administrator and teaching staff as required for summer school program, preparing appropriate records, documents, correspondence, filing, purging of files, recording of student records, and other duties as assigned by Building Administrator during summer period in order to prepare for fall enrollment and return to regular school year, assisting other personnel as may be required for the purpose of supporting them in the completion of their work activities, evaluating situations for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution, monitoring assigned activities and/or program components for the purpose of ensuring compliance with financial, legal, and/or administrative requirements, performing other duties as assigned by the appropriate Building Administrator.
