Kennedys, a growing global law firm, is seeking an Administrative Assistant to provide comprehensive administrative and operational support to the Office Manager and Legal Assistant team. This role plays a critical part in ensuring the smooth day-to-day functioning of the office and supporting attorneys in delivering exceptional client service.
Key Responsibilities
Provide general administrative support to the Office Manager and Legal Assistant team, adapting to evolving priorities and office needs
Coordinate attorney travel arrangements utilizing the travel management platform, ensuring accuracy and adherence to firm policies
Research restaurant and venue options for internal and external client meetings and coordinate reservations as requested
Assist with maintaining attorney and client records in InterAction, including timely and accurate data entry
Support attorneys with time entry submissions in Elite to ensure accurate and prompt billing
Assist with New Business Intake processes
Enter attorney expenses and court-related disbursements in accordance with firm guidelines
Download, organize, and manage large volumes of documents within iManage, ensuring proper filing protocols are followed
Serve as backup to the Electronic Document Filing Assistant, including applying naming conventions and managing document distribution
Provide backup support to the Facilities Team as needed to ensure continuity of office operations
Required Experience
Strong ability to prioritize competing, time-sensitive requests in a fast-paced professional environment
Exceptional attention to detail with a commitment to accuracy and quality
Excellent verbal and written communication skills
Highly organized with strong time management and follow-through skills
Professional demeanor and a client-service-oriented mindset
This is a developing role with opportunities for growth and expanded responsibility. The duties outlined above are not exhaustive and may evolve in alignment with team objectives and firm policies.
The annualized salary range for this role is $55,000-$70,000. However, this is contingent upon level of experience, location, and other job-related factors permitted by law.
