Database Coordinator

The Database Coordinator serves as the organization’s data specialist, overseeing the strategy, structure, and stewardship of data across CRM and giving systems (primarily DonorPerfect and GiveCloud). This role supports development and accounting staff by producing standard reports and responding to requests for complex queries and data analysis. The Coordinator also manages online giving systems and data collection pathways, ensuring they are both technically sound and donor-friendly.

This role ensures the integrity, accuracy, and security of donor and organizational data while establishing best practices, optimizing workflows, and training development team users. In doing so, the Database Coordinator promotes consistent and effective system use and strengthens the organization’s overall data capacity and insight.

Part-time (20 hours per week), Flexible Schedule, Remote work option available

Starting pay rate range: $25.00 – $28.00 per hour, depending on qualifications

Position Responsibilities

Database Management & Data Integrity

Serve as the organization’s primary CRM data steward and systems expert

Define and maintain data standards, naming conventions, and data collection protocols while ensuring compliance with data privacy, security, and best practices

Oversee the accuracy, integrity, and consistency of all donor and contact data, including monitoring and resolving duplicate records, inconsistencies, and other data quality issues

Reporting & Analytics

Produce and maintain standard and recurring reports for development, accounting, and leadership teams that support development activities and financial accounting.

Respond to requests for complex queries, data pulls, and or analysis

Create and maintain custom fields and data structures within the CRM as needed

Online Giving & Technology Management

Manage and optimize online giving platforms, donation forms, and related systems (DonorPerfect, GiveCloud, etc.), ensuring they are donor-friendly and aligned with organizational messaging

Oversee integrations between giving platforms, CRM, and other systems, including recurring giving, payment processing, and data flow

Troubleshoot and resolve issues related to donations, system integrations, and platform functionality

Systems, Training & Process Improvement

Train and support staff across departments in CRM use, data entry, and reporting tools

Develop and maintain clear documentation of workflows, procedures, best practices, and standardized user protocols for data entry and system use across teams

Identify and implement improvements to systems and workflows that enhance efficiency, accuracy, reporting capability, and overall organizational data capacity and insight.

Leverage additional tools and functionality of CRM to support development activities.

Qualifications
Required:

1—3 years of experience working with CRM systems, donor databases, or similar data management environments.

Experience supporting end users through training, documentation, or day-to-day system assistance

Strong proficiency with Microsoft Excel or Google Sheets

Preferred:

Experience with DonorPerfect, GiveCloud, or other fundraising/donor management systems

Familiarity with nonprofit fundraising operations, donor engagement, or development reporting

Experience creating complex reports, queries, or custom data fields within a CRM

Strong problem-solving and self-initiating mindset

High attention to detail and follow-through

Service-oriented and responsive to staff needs

Ability to manage multiple priorities and projects

Systems thinker who can see both immediate needs and long-term improvements
