
CLUBHOUSE ADMIN SPECIALIST

The Clubhouse Administrative Specialist is responsible for customer service delivery, oversight of data, memberships, attendance, tracking, and payments at the Clubhouse. This role includes a variety of administrative duties and assisting with other operational functions of the Clubhouse. The Clubhouse Administrative Specialist may serve as acting Clubhouse supervisor in the absence of the Clubhouse Director and Assistant Clubhouse Director.
Administrative Management
Maintain accurate membership records and monitor/track daily attendance.
Verify and ensure the accuracy of all member forms and data.
Ensure all payments of fees are submitted and recorded before services are rendered.
Check, verify, and produce accurate records of payments and attendance for memberships, enrollments, programs, sports leagues, field trips, and transportation.
Ensure Clubhouse deadlines are met.
Oversee Child Care Assistance (CCA) and Scholarship eligibility requirements at the Clubhouse. Assist members with eligibility by pre‑qualifying participants, collecting documents, and providing information on completing applications that assist with fee payments.
Greet members, parents/guardians, and visitors in a courteous, welcoming and professional manner. Serve as an informational resource and arrange tours of the facility for potential members. Assist visitors, vendors, or others not affiliated with the organization by facilitating introductions, meetings, or other events and ensure visitor compliance.
Promote and communicate programs, activities, events, and field trips to members and families.
Promptly and courteously answer Clubhouse telephones and emails and provide assistance.
Provide training and information to all Youth Development Professionals regarding front desk functions.
Serve as a mentor/role model for members. Provide direction to members by establishing and enforcing standards, expectations, and consequences for inappropriate behavior per organizational guidelines. Apply corrective action that is fair, consistent and age appropriate. Provide written documentation and support when necessary for conduct/behavior issues and may consult parents/guardians with the approval of Clubhouse leadership.
Other Duties
Assist, implement, plan, or participate in BGCSNV special events as required.
Enforce and abide by Clubhouse rules, organization policies, procedures and practices.
Provide attention and direction to special needs children as required.
Drive Club vans periodically.
Maintain a professional appearance and bearing reflective of the high standards of the Boys & Girls Clubs of Southern Nevada.
Assist at other Clubhouse locations when needed.
Occasionally work irregular or extended hours.
Perform other duties as assigned.

High school diploma or general equivalency
Three years of experience in a Boys & Girls Club or similar organization completing administrative/customer service duties.
Strong working knowledge of Microsoft and/or Google suite of productivity applications (Word, Excel, Forms, Outlook, etc.).
Ability to deal effectively with multi‑age groups of children, small groups of children in activities and free play, and large groups of children in organized activities.
Ability to meet deadlines with time constraints and handle multiple demands.
Strong interpersonal and team leadership skills.
Ability to interact professionally with the public, families, Youth Development Professionals, and members.
Demonstrated ability to take responsibility for the safety, well‑being, and output of others.
