Service / Warranty Administrator
The Service / Warranty Administrator is a critical operational role responsible for the seamless execution of post-installation services and warranty claims. This position serves as the primary coordinator between field technicians, project managers, and clients to ensure every follow-up is handled with precision and efficiency.
Job Summary
This role requires strong organizational skills, proactive communication, and the ability to manage multiple scheduling systems. The ideal candidate will maintain data accuracy, coordinate service requests, and ensure a smooth workflow across all service-related operations.
Key Responsibilities
Warranty & Service Coordination
Review completed jobs daily and verify installer photos to ensure quality standards.
Manage and schedule all warranty claims and service requests from start to finish.
Create, update, and manage internal work orders to track service history and resources.
Contact clients to confirm service appointments and provide accurate time windows.
Specialized Scheduling & Logistics
Optimize technician routes based on location, skill sets, and job requirements.
Coordinate and schedule product deliveries, including specialty items like farm sinks.
Manage case-by-case scheduling for templates and small installations.
Portal & System Management
Manage daily tasks within the Supply Pro portal, including updates and service requests.
Perform regular audits of the Moraware system to ensure scheduling accuracy.
Monitor and sync Pulte account schedules to maintain alignment with internal systems.
Operational Support
Provide backup support for the Template/Install Coordinator as needed.
Ensure technicians have all necessary materials and job information before dispatch.
Qualifications & Skills
Experience in scheduling, logistics, or service coordination (construction or stone industry preferred).
Ability to quickly learn and manage industry-specific software (SPS, Moraware, Supply Pro, etc.).
Strong attention to detail, especially when reviewing installation photos and service needs.
Excellent communication skills for working with both large accounts and residential customers.
Adaptable and able to shift priorities based on operational needs.
