Job Description
As the two-year residential college division at Boston College, Messina College provides an associate’s degree program to 200 first-generation students with high financial need. The program prepares students to pursue a bachelor’s degree or begin their professional careers. Messina College students live and study on Boston College's Brookline Campus and have full access to BC’s facilities and events.
This position provides high level administrative support to the Dean of Messina College and requires a self-starter with highly developed communications skills (diplomatic and interpersonal). The incumbent must have the ability to work and interact with a diverse community and demonstrate a high degree of cooperation and willingness to assist with all projects, programs, events and related matters at Messina College. The Administrative Assistant must be extremely well organized and detail oriented. He/she will handle confidential information and situations requiring the attention of the Dean. He/she must have the ability to clearly see the “big picture,” determine priorities and multi-task simultaneously in a fast-paced environment.
Responsibilities include:
Handling routine office tasks, managing and maintaining the Dean’s calendar; scheduling and coordinating appointments, events, and meetings
Responding to mail, calls, email, and other inquiries and acting as the primary point of contact to direct inquiries to the appropriate staff
Serving as liaison with internal and external constituencies
Supporting and managing the budget process, preparing expense reimbursements, requisitions for payments to vendors, ordering office supplies, managing space
Assisting with maintaining and updating databases, and organizing data, reports, and other meeting materials
Working with academic operations and academic systems and faculty, particularly in course management, expense reporting, and advising
He/she serves as an information source to visitors and callers using judgment, knowledge of office operations and interpretation skills.
Hiring Range: $30.85/hr to $38.57/hr. Pay rate commensurate with relevant experience.
Requirements
Minimum of an Associate’s degree with a high degree of proficiency in MS Office (Word, Excel, PowerPoint), Google applications, email and Internet skills. Experience with PeopleSoft HR and PeopleSoft Financials is a plus. A minimum of five years of increasingly responsible administrative support experience, ideally in an educational environment.
