Position Overview
The Preconstruction Assistant supports the preconstruction and estimating team throughout the entire bid and proposal process. This role is ideal for a detail-oriented, self-motivated individual who is eager to learn the business of construction from the ground up. The Preconstruction Assistant will work closely with the preconstruction manager and estimators to organize project information, assist with subcontractor procurement, request vendor pricing, and help develop winning proposals.
Job Duties & Responsibilities
Project Administration
Organize and maintain project files, documents, and correspondence throughout the preconstruction phase
Support project handoff to the operations team upon award, ensuring all relevant documents and information are properly transferred
Coordinate subcontractor prequalification and procurement processes
Request Vendor and Subcontractor pricing
Develop and distribute subcontractor and vendor scopes of work
Review, compare, and level subcontractor and vendor pricing to ensure completeness and competitiveness
Prepare and maintain bid schedules to track key milestones and deliverables
Complete and submit bid forms accurately and on time
Support the writing, assembly, and presentation of proposals and RFP responses
Understand and manage XBE (Minority, Women, and Disadvantaged Business Enterprise) requirements and assist with related reporting and good faith efforts.
Qualifications / Aptitude & Skills
Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously
1–5 years of experience in construction, estimating, or a related field (internship experience considered)
Excellent written and verbal communication skills
Proficiency with MS Office products (Word, Excel, Outlook)
Familiarity with estimating or preconstruction software is a plus (e.g., BuildingConnected, Bluebeam, Primavera, Stack On-Screen Takeoff, or similar)
Ability to read and interpret construction plans and specifications
Self-motivated with a strong work ethic and keen attention to detail
Ability to work both independently and collaboratively within a team
Demonstrated ability to prioritize tasks and manage time effectively under minimal supervision
Eagerness to learn all facets of the preconstruction and estimating process in a growing, fast-paced environment
