Summary of Position:
The Executive Assistant and Admissions/Marketing Coordinator fulfills the mission of Holy Cross Catholic School by providing administrative support to the Principal while leading efforts to grow the school community through strategic admissions coordination and mission-centered marketing. This is an hourly position for 35–40 hrs/week.
Essential Responsibilities
Executive Support to the Principal
Performs administrative duties as assigned by the Principal.
Admissions Coordination
Directs admissions prospects from initial inquiry through enrollment.
Schedules and conducts personal tour of the school.
Coordinates student “shadow days.”
Maintains accurate student records and prospect data in the Student Information System.
Plans and implements Open Houses, New Family Orientations, and registration events.
Marketing & Communication
Manages the school’s digital presence, including the website and social media channels (e.g., Facebook, Instagram).
Creates and oversees production of brochures, newsletters and digital ads.
Builds relationships with the local community to strengthen school image and promote enrollment.
Essential Qualifications
Is a practicing Roman Catholic in good standing who understands and enthusiastically supports the mission of the Church and the purpose of Catholic education.
High School Diploma required, Bachelor’s Degree preferred.
Has completed or will successfully complete within 90 days of start of employment the diocesan program “Protecting God’s Children.”
Meets all employment policies specified in the Diocese of Portland “School Personnel Policies and Procedures Manual.”
Demonstrates strong proficiency with Microsoft Office products, social media platforms, and school management software.
Maintains a high level of confidentiality and professionalism.
Possesses strong organizational skills and attention to detail.
Impeccable responsiveness and follow-through with projects and communications.
Willingness to build community and work as part of a team.
Flexibility to work outside of school hours as needed or requested.
Possesses and maintains a valid Maine driver’s license and is insurable.
Physical Requirements
Ability to keystroke 3–4 hours per day with reasonable breaks.
Ability to sit for 3–4 hours a day with reasonable breaks.
Ability to set up event space as needed.
Ability to communicate with teachers, parents, and students.
Ability to bend, stoop, or kneel occasionally.
