Job Description
Our Legal Assistant will manage our front desk daily and perform a variety of administrative and clerical tasks to assist the managing attorney in keeping the office functioning smoothly. The Legal Assistant will work closely with the managing attorney to prepare and review legal documents necessary to conduct a real estate closing.
REAL ESTATE CLOSING EXPERIENCE IS REQUIRED!
Responsibilities
Greet and welcome guests as soon as they arrive at the office
Direct visitors to the appropriate person, office, or conference room
Answer, screen and forward incoming phone calls
Assist with closing files as needed (e.g. disbursing funds/scanning documents)
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
Provide basic and accurate information in‑person and via phone/email
Maintain office security by following safety procedures and controlling access via the reception desk
Keep inventory of stock
Update calendars and schedule appointments or meetings
Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
Request documents necessary to conduct closings according to contract terms
Check legal documents for accuracy
Obtain attorney approval for legal documents related to the transaction
The company reserves the right to add or change duties at any time
Skills
Hands‑on experience with office equipment (e.g. fax machines and printers)
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time‑management skills, with the ability to prioritize tasks
Customer service attitude
Time management
Active listening
