Design Coordinator

Position Overview
We are seeking an experienced Design Coordinator to organize and manage various residential mechanical projects from inception to completion. The ideal candidate is motivated, highly organized, and passionate about delivering high-quality results. The successful candidate will ensure that all projects are delivered on time, with all necessary materials, and to the highest standards of quality.

Key Responsibilities

Project Leadership:

Direct progress and production of design projects, ensuring adherence to industry standards and regulations while maintaining project timelines and milestones.

Collaboration:

Work closely with division managers, designers, estimators, and contractors to ensure timely delivery of all required documentation and project deliverables.

Progress Tracking:

Prepare and monitor project timelines and milestones, providing regular updates and tracking progress toward goals.

Data Entry & Analysis:

Ensure timely and accurate data entry for all incoming requests and manage reporting to track productivity.

Documentation Management:

Oversee all project documentation, including design drawings, specifications, and contracts, ensuring clear organization and high-quality deliverables.

Office Management:

Manage day-to-day office operations, including supply ordering, inventory tracking, planning team events, and coordinating with vendors.

Risk Management:

Identify potential project risks early and implement mitigation strategies throughout the project lifecycle.

Continuous Learning:

Stay current with HVAC, plumbing, and residential new construction technologies, trends, and best practices.

Minimum Years of Experience
4-6

Qualifications

Bachelor’s degree in Project Management, Mechanical Engineering, HVAC Engineering, or a related field.

Minimum of 5 years of experience in Office Management, Project Management, or a related role.

Minimum of 5 years of experience using Microsoft Excel and Office 365.

Typing speed of 60+ words per minute.

Exceptional organizational, leadership, and communication skills.

Ability to work independently while managing multiple projects simultaneously.

PMP certification is a plus.

HVAC, plumbing, or residential new construction industry experience preferred.

Work Environment

Primarily office-based role in a professional business setting.

Frequent collaboration with internal teams and external partners.

Fast-paced environment with multiple deadlines and shifting priorities.

Occasional visits to job sites may be required.

Standard business hours with potential for extended hours during peak project periods.

Physical Requirements

Prolonged periods of sitting and working on a computer.

Frequent use of hands and fingers for typing and data entry.

Ability to communicate clearly in person, via phone, and electronically.

Occasional standing, walking, bending, or lifting office materials (up to 25 lbs).
