The Reservations Coordinator at Hyatt Regency Santa Clara supports both transient and group reservations with a high level of detail, ownership, and interdepartmental collaboration. This role requires strong system knowledge, excellent communication skills, and a mindset geared toward operational accuracy and guest satisfaction. Ideal candidates will balance technical execution with proactive coordination across Revenue, Sales, and Operations teams. This position requires the Colleague to retain learned technical skills to communicate efficiently, complete reservations tasks, and run and analyze reports from different systems.
Essential Job Duties
Ensure accuracy when making room reservations, recognize guests’ needs and requests, and properly communicate requests to the appropriate departments.
Promote an understanding of revenue optimization concepts, ideas, and practices implemented by the Director of Revenue and Director of Reservations to better maximize our Hotel’s revenue capabilities.
Generate and audit daily reservations reports as assigned to ensure reservation completion, accuracy, and preparedness.
Utilize sales training techniques to provide the best call quality possible to ensure the maximization of revenue and guest service.
Performs assigned duties on the daily reservations task list.
Must be able to effectively, patiently, and professionally handle all internal and external guest situations and resolve guest challenges to guest’s satisfaction.
Make outbound calls, e-mails and follow ups.
Manage Group Reservations including the following items:
Enter and manage group rooming lists
Blocking group rooms prior to arrival as needed
Setting up group routing, inventory, rates, etc.
Review group cutoff dates to ensure rooming lists are entered before group is cut off.
Assisting the Sales and Events Team with all things group reservations related
Coordinate with Sales and Events Team to ensure all client requests and changes are implemented in timely manner.
Excellent verbal, listening and communication skills
Strong knowledge of Microsoft Office programs
Able to work well under pressure, multi-task, and have strong organizational skills.
Able to resolve problems/conflicts in a diplomatic and tactful manner
Must have a passion for creating an exceptional experience for all guests
Minimum 1 year of hotel experience required. Reservations and/or Front Office experience preferred
Previous experience of Hyatt reservations systems (Reserve, Opera) highly preferred
Able to maintain confidentiality of all guest information and pertinent hotel data
Able to analyze and resolve problems exercising good judgment
Flexibility to work on holidays, weekends, and special events dates as needed
