ADMINISTRATIVE OFFICER I (EXECUTIVE ASSISTANT)

Responsibilities

Administrative responsibilities for the Carroll County Health Department Health Officer, Deputy Health Officer-Medical and Deputy Health Officer-Operations including scheduling meetings

Creating reports, meeting minutes, procedural manuals, workflow charts, organizational charts

Participating in program planning and analysis

Maintaining correspondence with administrative officials (program heads, staff specialists, etc.) and coordinating interagency communications (State Legislature, federal government, local agencies, partner organizations, etc.)

Providing coverage for administrative support services for the clinic (intake, insurance, scheduling), vital records, front office services (phone support and fee collections, receiving, mail services), operations and security

Minimum Qualifications

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year of administrative staff or professional work.

Candidates may substitute 30 college credit hours from an accredited college or university for the required experience.

Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year‑for‑year basis.

Desired or Preferred Qualifications

Experience working in a high level administrative or Executive Assistant role supporting senior leadership within a large organization.

Experience managing complex calendars, scheduling meetings across multiple time zones and coordinating travel logistics.

Experience preparing meeting agendas, taking minutes, distributing materials and ensuring follow up on action items.

Experience or working knowledge of productivity and communication tools including Google Workspace or Microsoft Office Suite.

Experience managing projects, tracking deadlines and creating presentations or reports as needed.

Licenses, Registrations and Certifications
Employees may be assigned duties requiring operation of a motor vehicle and require a valid motor vehicle operator’s license in Maryland.
