Primary Purpose:
Organize and manage the routine receptionist activities of the office and provide clerical services to designated staff members.
Qualifications:
Education: High School Diploma
Special Knowledge/Skills: Ability to instruct and manage student behavior; strong organizational, communication, and interpersonal skills; bilingual
Experience: Three years’ experience as a secretary or receptionist.
Major Responsibilities and Duties:
Receive incoming calls and route to appropriate staff
Greet all visitors and respond to routine inquiries from district staff and public
Operate fax machine, copy machine, postage machine, and phone system
Maintain all equipment
Maintain phone records and messages
Maintain inventory on all equipment and furniture in receptionist area
Assist with the preparation of purchase orders and other business related functions. Make recommendations for acquisitions and manage the processing, organizing, distribution, maintenance, and inventory of library/media resources.
Maintain a schedule of appointments and make travel arrangements for department staff
Receive, sort, and distribute mail and other documents to department staff
Comply with district policies, as well as state and federal laws and regulations
Adhere to the district’s safety policies and procedures
Maintain confidentiality in the conduct of district business
Must be able to perform the essential functions of walking and interacting with students and/or district employees in the specific work site assigned (classroom or office setting)
Demonstrate regular and prompt attendance
Other duties as assigned

Mental Demands: Reading, ability to communicate effectively (verbal and written); maintain emotional control under stress; coordinate district-wide curriculum functions; interpret policy, procedures, and data.
Physical Demands/Environmental Factors: Frequent standing, walking, stooping, bending, kneeling, pulling, pushing, lifting, carrying; moving small stacks of textbooks, media equipment, desks, and other classroom equipment; repetitive hand motions; prolonged use of computer terminal possible; occasional district-wide travel; occasional state-wide travel; frequent prolonged and irregular hours; possible biological exposure to bacteria and communicable diseases; specific vision abilities required by this job include close vision, distance vision, peripheral vision, and the ability to adjust focus; frequent light lifting and carrying (under 15 pounds); occasional moderate lifting and carrying (15-44 pounds).
