Job Summary
The Administrative Coordinator I position provides administrative, operational, and human resources support to ensure efficient, compliant departmental operations. It serves as the primary coordination hub for faculty, staff, students, and external partners, managing calendars, meetings, facilities, and front office functions while maintaining accurate records and ensuring adherence to university policies. The role supports faculty processes, recruitment, and student programs; oversees hiring actions, onboarding, and timekeeping; and coordinates complex travel activities. The position ensures seamless daily operations, enhances service delivery, and supports the department's strategic and operational priorities. Collaboration required to adapt responsibilities as needed, supporting staffing transitions, system implementations, and other priorities to maintain business continuity. Performs other duties as assigned. This role will be assigned to support student travel for the Tiger Band, along with the other duties and responsibilities outlined.
Job Duties
Administrative & Office Operations
Manage department calendar, schedule meetings, coordinate logistics, and support departmental events.
Record and distribute meeting notes as needed. Serve as department room coordinator, student organizations, and exams.
Perform front office operations: answer phones, route inquiries, process mail, maintain office supply inventory, and manage employee listservs.
Serve as primary point of contact for internal and external stakeholders. Submit and track maintenance and surplus requests; ensure timely resolution and proper asset disposition.
Maintain accurate departmental records and ensure compliance with university administrative procedures. Stay current with university policies and ensure adherence across administrative functions.
Attend all University and College meetings per invitation. Coordinate facility and equipment repair requests, including technical equipment, instruments, and building maintenance; coordinate piano tunings for the building.
Monitor, operate, and maintain all office equipment; consult with users and arrange repairs and routine maintenance.
Academic & Faculty Support
Coordinate faculty processes including sabbatical requests and annual faculty evaluations for the Department Chair and Program Directors.
Organize materials and facilitate nomination processes for faculty and student honors, awards, and recognitions.
Support faculty recruitment and hiring by coordinating search activities, scheduling interviews, and organizing campus visits.
Serve as backup Registration Coordinator for assigned departments, ensuring accurate course scheduling and enrollment processes.
Provide backup support for scholarship and award processing systems (e.g., CU Select).
Collaborate with HRPL, Office of Global Engagement, and external counsel on visa and permanent residency processes for international hires.
Assist with coordination and support of student interns and student programs. Support logistics for student group activities, including travel, lodging, transportation, and catering.
Human Resources & Payroll Administration
Initiate and process employee and student hiring actions, including new and replacement hires; prepare and submit HR documentation (dual employment, overloads, additional duties, and personnel action requests).
Coordinate onboarding processes, including background checks and orientation meetings for employees and volunteers.
Serve as backup to lead timekeeper: monitor timecards for hourly and non-exempt staff; ensure leave approvals and payroll deadlines; review overtime and secure supervisor approvals.
Train employees and student workers on timekeeping processes; ensure compliance with HR, payroll, and administrative regulations.
Administer FMLA processes, including documentation coordination and compliance tracking.
Business Operations Support
Complete and route summer school and special pay forms; coordinate travel arrangements and reimbursements for students and campus guests in line with policies.
Provide guidance on travel policies and procedures to faculty and staff; support financial tracking and reporting activities as needed (e.g., data for Alumni Relations).
Assist with budget-related coordination; support departmental purchasing activities and act as primary liaison for timely, compliant acquisitions.
Coordinate per diem requirements, itineraries with charter bus companies, airline lists, and hotel rooming for student travel; compile travel folders; coordinate with Athletics for Tiger Band travel.
Prepare Athletics Travel Authorization forms for approval, including quotes and expenses; prepare Athletics Vouchers after travel.
Minimum Requirements
Education — A High School diploma and relevant experience in business management, public administration, or administrative services, or a bachelor's degree may be substituted for the required work experience.

Expected Salary Range ($39,300.00 - $50,000.00). Salary is dependent on factors including experience, knowledge, skills, and performance in accordance with Clemson's compensation guidelines.

Normal Operations. Required to follow emergency facility closure directives; not normally expected to work on-site during emergencies.
