Legal & Business Operations Assistant
Compensation: base salary of $75,000 to $85,000, depending on experience and skills.

We are seeking a legal secretary to support our General Counsel (GC) and Chief Operating Officer (COO) in a hybrid role that combines legal and administrative support and analytical project work. This is a full-time (40 hours/week) salaried position at our Santa Ana office.

This position requires someone who is detail-oriented, highly organized, and comfortable shifting between routine administrative responsibilities and higher-level analytical tasks.

Key Responsibilities:

Provide day-to-day administrative support to GC and COO, and periodic support for other members of the senior management team;

Assist with legal document preparation, organization, and tracking (contracts, filings, correspondence);

Assist with correspondence and communications between the GC/COO and various company departments and employees;

Maintain organized records and file documents in the appropriate physical and/or electronic locations;

Develop, update, and maintain

Assist in compiling and analyzing data related to operations, projects, and portfolio performance; and

Support special projects, including process improvements and internal reporting.

Assist with travel planning and office events

Qualifications:

8+ years of legal or executive administrative support experience;

Strong proficiency in Microsoft Outlook, Word and Excel (data organization, basic analysis, reporting);

High attention to detail and strong organizational skills;

Proactive approach to company operations and workflow;

Ability to manage multiple priorities and work with minimal supervision;

Strong written and verbal communication skills;

Discretion and professionalism in handling sensitive information

This is a newly created position that is designed to evolve in alignment with the needs of the GC and COO. It is best suited for someone interested in taking a proactive approach to helping define and refine the role in a manner that leads to increased responsibility, ownership, and autonomy over time.
