POSITION OVERVIEW
The Transportation Dispatcher plays a vital role in ensuring the smooth operation of transportation services, scheduling, and assisting guests with their transportation needs. This position requires excellent communication skills, attention to detail, and a commitment to delivering outstanding guest experiences.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following and other duties may be assigned as necessary:
Coordinate and schedule transportation services for guests, including airport transfers, local excursions, and shuttle services
Maintain accurate and up-to-date transportation schedules to ensure timely pick-ups and drop-off
Act as the primary point of contact for guest transportation requests, providing information, assisting with reservations, and ensuring guests' transportation needs are met
Collaborate with various resort departments, such as concierge, events, and guest services, to ensure smooth transportation logistics for special events, group activities, and VIP guests
Liaise with external transportation vendors and service providers, ensuring services are scheduled, managed, and delivered in accordance with guest expectations and resort standards
Effectively communicate transportation details to guests, drivers, and other resort departments, ensuring everyone is informed and aligned on transportation logistics
Maintain accurate records of transportation schedules, guest preferences, and any transportation-related incidents or changes
Monitor guest feedback related to transportation services, promptly addressing any concerns and identifying opportunities for improvement
Collaborate with the Transportation Manager to maintain proper documentation and records
Temporary or permanent duties and responsibilities may be added to or modified as deemed necessary
QUALIFICATION REQUIREMENTS
High school diploma or equivalent required
Minimum of six (6) months experience in guest services, transportation, or a similar role
Extensive knowledge of VIP/Transportation Services in a high-volume luxury resort
Proficiency in Transportation software is a plus
Highly motivated and energetic personality with a strong commitment to excellence in hospitality
Ability to maintain composure when working in busy and stressful situations
Excellent organizational skills and attention to detail
Ability to manage, prioritize, and delegate multiple projects simultaneously in a fast-paced environment
Familiarity with local transportation options and resources
Ability to maintain the confidentiality of sensitive guest and company information
Proficient in Microsoft application tools, including but not limited to Microsoft Word, PowerPoint, Excel, and Outlook
Ability to actively influence and drive collaboration with individuals or groups at various levels within and outside of the organization
Demonstrated ability in maintaining consistent, high-quality service levels
Must be willing and able to work a flexible schedule to include nights, holidays, and weekends
Work in a fast-paced, busy, and somewhat stressful environment
SUPERVISORY RESPONSIBILITIES
This position does not have any supervisory responsibilities.
CERTIFICATES, LICENSES, REGISTRATIONS
Member must be able to qualify for licenses and permits required by federal, state, and local regulations.
LANGUAGE SKILLS
Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to read and communicate verbally in English. Written communication skills in English may also be required.
REASONING ABILITY
Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
