Administrative Services Assistant
Hybrid role (James Robertson Pkwy)
Compensation: $25 per hour
1-year contract with possibility of extension
ABOUT THE ROLE
Our client is seeking an Administrative Services Assistant for a one-year contract, with the potential for extension, working in a hybrid capacity.
The ideal candidate will demonstrate excellent communication and customer service skills with a diverse internal and external customer base.
This role requires strong time management, organizational abilities, and critical thinking.
The Administrative Services Assistant will be responsible for data management, administrative support, and ensuring compliance with board and regulatory requirements.
The position offers the opportunity to work closely with applicants, board members, and technical staff, supporting the Water Well Program and related administrative functions.
WHAT YOU'LL DO
Review well licensing renewal applications for completeness, including verification of continuing education units and fee payments
Communicate with well driller applicants to provide guidance and answer questions regarding the application and testing processes
Perform routine data entry, quality assurance, and data reporting using internal databases; resolve incomplete or inaccurate data and information
Provide administrative support for Board Management, including scheduling board meetings, ensuring compliance with Sunshine Notice requirements, organizing and maintaining board files, recording board meetings, providing ADA support during and after meetings, mailing licenses and letters, informing applicants of board meeting results, and coordinating with the board attorney or Water Well Program technical staff
Support additional administrative and data management tasks as requested
WHAT YOU BRING
Bachelor’s degree preferred
At least three years of professional administrative experience (Paralegal experience preferred)
Excellent communication and customer service skills with diverse audiences
Strong time management, organizational, and critical thinking abilities
Experience with data management, entry, quality assurance, and reporting
Ability to review applications for completeness and compliance
Proficiency in scheduling, organizing files, and supporting board meetings
Familiarity with ADA support and compliance requirements
Ability to coordinate with internal staff and external applicants
