New England College of Optometry is seeking a Student Records Coordinator. Reporting to the Registrar, this position provides quality services and support to faculty, students, administrators, and alumni through the timely and accurate handling of enrollment activities and academic records. Operating within a small, collaborative office, this role offers a unique opportunity to learn all facets of registrar operations and international student compliance. The ideal candidate will be a self‑motivated and proactive individual who is able to process information efficiently with great attention to detail and a positive attitude.

The salary for this position is $50,000.

Responsibilities
Student Records & Office Operations

Serve as the first point of contact for the Registrar’s Office, providing excellent customer service to students, faculty, staff, and alumni while maintaining strict confidentiality.

Ensure the accurate and timely process of requests from students, alumni, faculty, and staff including transcript requests, enrollment verifications, student information updates, registration requests, grade changes, and professional licenses.

Assist the Registrar with entering and editing course information and student registrations in the database, with a specific focus on overseeing clinical rotation registrations.

Maintain student files and ensure they are kept to date. Compile documentation for the Student Affairs Committee (SAC) and Graduation Audit process, including diploma ordering.

Assist Registrar in duties related to registration, commencement, student handbook and special projects throughout the year.

Follow governmental regulations and laws for student privacy and rights (FERPA, Title IX, ADA, and Rehabilitation Acts).

International Student Services (DSO)

Serve as a Designated School Official (DSO) and assist the PDSO/Registrar with advising approximately 150 international students.

Register international students in SEVIS each term and maintain accurate records according to SEVP guidelines.

Generate and sign I-20s, including CPT I-20s for final‑year rotation students, and provide travel endorsements as needed.

Assist in maintaining the international student information page on the student portal and send relevant communications regarding immigration status and student issues.

Qualifications

Bachelor’s degree or relevant experience.

Two to three years of full‑time experience in an office setting (Higher Education, Registrar, or International Student Advising experience preferred).

Must meet federal eligibility requirements to become a DSO (U.S. Citizen or Lawful Permanent Resident).

Strong computer skills, including Google Suite; experience with Jenzabar or similar student information systems preferred.

Excellent written and oral communication skills and strong commitment to customer service and ability to manage multiple tasks concurrently with precision.

Ability to interpret academic policy and handle confidential information with tact and discretion when working with students, parents, faculty, staff, or alumni.

General knowledge of FERPA and USCIS regulations helpful.
